The Architecture Department has an outstanding opportunity for a Counseling Services Coordinator to join their team. POSITION PURPOSE

The primary function of this role is to provide academic advising to prospective and current students in the Arch major students

POSITION COMPLEXITIES

The position reports to the Department Chair and works closely with the Graduate program director. The graduate advisor and other advisers in CBE as well as collaborating with Arch faculty and staff. There are also times when this position requires participation in select department-wide, college-wide and university-wide events throughout the academic year

POSITION DIMENSIONS AND IMPACT TO THE UNIVERSITY

This position focuses on supporting the Department of Architecture graduate student population by delivering holistic advising services that aim to ensure all students are successful during their time in the program and once they graduate. By working with the chair, graduate program director, faculty and staff, it also contributes to position the department of Architecture within the College of Built Environments at the University of Washington as a top tier Architecture program and research center worldwide, contributing to the overall reputation of the University of Washington as a place delivering excellent programs to students. This position provides advising services for approximately 200 students. This number is still evolving and much remains to be done to establish and sustain activities and events to support students (info sessions, mentoring, graduation preparation).

DUTIES AND RESPONSIBILITIES Academic Advising – 50% • Advise graduate students across three Master’s programs regarding academic goals, curriculum, degree requirements, and program opportunities with the department and college degree options, certificate programs, study abroad programs which include faculty led, independent research, and internships. • Develop customized study plans for students pursuing concurrent degrees • Record studio evaluations and track academic progress. • Review and approve Curricular Practical Training for department; Supervise the mandatory CPT credit enrollment. • Update curricular forms and documents as needed • Develop and conduct new student onboarding sessions and orientation programming to ensure a seamless transition to the program and department. Counsel students experiencing academic difficulties, administer the department satisfactory academic progress policy, and prepare probationary action when necessary. • Communicate with GPC and Chair about cohort morale, emerging student needs, and feedback on curriculum; represent student perspectives and needs in Executive Committee meetings and discussions. • Help individual students resolve issues with registration, financial aid, and other administrative roadblocks that may arise; make appropriate referrals to UW resources such as International Student Services, Financial Aid Office, Center for Career Services, Counseling Center; support students through connections to UW resources such as GSEE, Disability Services Office, Husky Veterans. • Organize milestone meetings with each cohort.

• Review and process On-Leave Requests, Curricular Practical Training, and Veterans Benefits forms • Provide enrollment guidance for Independent Learning Abroad enrollments: Valle Fellowship, Scan Design Internship • Process graduation recommendations.

Programmatic and Administrative Responsibilities – 35% • Academic year planning and administration support of graduate studio selection and placement process, events (Orientation, Thesis Reviews, Department Scholarships, Admitted Student Recruitment Events, Merit Awards, Graduation, and other department events • Quarterly Time Schedule analysis to assist Program Manager with course scheduling • Annual enrollment and graduation reporting to Chair, Dean’s Office, or Advancement as requested • Attend Meetings: Student Advisory Council (4 cohorts) , Executive Committee, Faculty Meetings, PAC, SJEDI, admissions, CBE Advisers, CBE Diversity Council • Provide administrative support to PAC Student Seminar Committee: schedule room, develop poster, coordinate catering • Update curricular forms and documents as needed • Update Student Resources page on website – regularly • Co-administer department social media (Instagram) • Co-supervise Student Assistants on website, video, and graphics projects • Provide quarterly card key programming spreadsheet for OnGuard access to Facilities Coordinator. • Perform duties as assigned to support the broader goals of the Department

Admissions – 15% • Lead and manage the admissions process, provide guidance and support to the admissions committee. • Provide Chair & GPC administrative support with tracking admissions scholarships; create letters and follow up email communications to awardees; notify offices involved with disbursement • Track scholarship awards; notify offices involved with disbursement

Lead Responsibilities: • Graduate Studio Selections process (quarterly) • Lead planning efforts for Department New Student Orientation and Admitted Graduate Student Open House Events

Supervisory Responsibilities: • Supervises social media and video projects. Including co supervision of website and graphics projects with Student Assistants

MINIMUM REQUIREMENTS

Bachelor’s degree in the social sciences, built environments, business or related fields or equivalent, and 3 years of experience working with students in an academic or instructional environment

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

• Excellent organizational skills with attention to detail • Demonstrated verbal, written, and interpersonal communication skills • Experience and desire to work with a diverse group of people and experiences • Dependable and responsible with the ability to problem solve, make independent decisions based on department or university policy and guidelines, balance multiple tasks, and manage complex workloads with frequent interruptions and irregular workload • Ability to work independently as well as collaboratively in teams • Capacity to adapt and apply technology and information systems • Professional, and sensitive to the needs of other employees and students • Interest in and/or experience with the Architecture profession broadly defined

DESIRED QUALIFICATIONS

• Experience working with students in an academic or instructional environment with advising and recruitment experience • Experience using the advising systems used by UW, including the Degree Audit Reporting System (DARS), Student Database (SDB) in Keynes, and the Enterprise Data Warehouse (EDW) • Experience working and communicating successfully with faculty and administrators

CONDITITONS OF EMPLOYMENT

• Working irregular hours is common during certain times of the academic year, especially during the start of the quarter and when deadlines are imminent and when there are major departmental events. 1 day a week remote flexibility is at the discretion of the department chair. • This position is expected to respond promptly to email and in-person requests from students, faculty and staff • May be required to travel to recruiting events
