The College of Arts & Sciences (CAS) is one of the largest academic units on the UW Seattle campus, employing over 1400 tenure-track and research faculty, in 43 departments and centers, and generating an average $120 million dollars in sponsored research each year. CAS is comprised of 4 major divisions – Arts, Humanities, Social Science and Natural Science – whose cutting-edge research spans from malaria treatment to solar energy to human rights. CAS is home to diverse music, art, drama, dance, digital arts academic units and degrees, and runs one performance hall (Meany) and two major museums (Henry Art and Burke). CAS academic programs support more than 22,000 undergraduates and 2600 graduate students. The College occupies over 1 million square feet of space spread across campus and off-campus facilities in more than 50 buildings.

We live in complex, challenging, and incredibly dynamic times. Keeping track of best practices and regulatory requirements while offering timely assistance to departmental chairs and administrators in need is a key success indicator for the Dean's Office in the College of Arts and Sciences. This new position, the Administrative Specialist, reports to the Assistant Dean of Personnel, who interacts with all the departments in the College in all personnel and contractual matters and is committed to ensuring that the College exemplifies the persistent attainment of best practices in administration and compliance with all regulatory requirements.

This position will assist in developing website posts regarding the implementation of staff and faculty policies, monitor regulatory compliance regarding Title IX, Youth Protection, Employee Health and Safety and all required training - to name just a few of the key areas. The position will also assist in the development of College data warehouses regarding service agreements and contracts with a view to capturing the myriad commitments of the College.

Operating at the intersection of personnel, financial, and policy accountability, this position will offer the college empirical truths and visible support to achieve strategic and tactical compliance and sustained best practice performance.

DUTIES AND RESPONSIBILITIES 35% - Write and maintain communication posted on the College’s website related to various employee groups. Examples include but are not limited to sabbatical eligibility and College process; coordinate communication regarding employee life cycle issues, establish relationships with Central HR in matters of training, on-boarding, expectations, and the application of new policies and procedures applicable to staff. Establish relations with Academic Personnel to ensure that policies and practices applicable to the faculty life cycle, particularly as related to compliance are effectively conveyed and followed up. When appropriate, attend Executive staff and take information discussed by Divisional deans and Deans and draft updated or new policies and procedures. Create and maintain template letters. Particularly as related to offers and appointments and to on-going staff management (i.e. letters of expectation and corrective action). Work with Research and administrative staff to assist in the maintenance of the service agreement database. Create and maintain a calendar to review and update website material and ensure it includes relevant information and/or links to UW, state, or federal resources.

35% - Ensure College members comply with relevant required training, such as Title IX, UW Youth Program Registration and Training, and all applicable new policies and initiatives. Create regular communication to share training requirement(s); pull reports from official UW sites to review for employee compliance, initiate contact with employees and their managers when training isn’t completed.

15% - Create and maintain a ‘staff supervising for faculty managers’ training materials. Make these materials available online as well as virtual presentations. Serve as a point of contact for front line questions about staff work schedules, telework agreements, leaves of absence, medical leaves, annual performance reviews. Serve as a resource when a department or unit is interested in reviewing current staff work distribution and job profiles. Ensure timely completion or annual performance reviews as well as reviews during probationary periods etc.

15% - Collaborate with the other members of the Dean’s office on the Project Corp Staff report as well as Health and Safety related issues and the intersection between finance and personnel issues in the College.

MINIMUM REQUIREMENTS

  • Bachelor's degree in Business, Economics, Public Agency administration, or other related field. Equivalent experience can substitute for any degree requirements.

  • Two to three years increasing experience with complex organizational structures in education, not for profit or government agencies related to finances and budgets.

  • Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. ADDITIONAL REQUIREMENTS

  • Ability to communicate clearly both in writing and verbally.
