Job Description

AECOM is seeking an Administrative Assistant to be based in our Seattle, WA office.

Job Responsibilities:

  • Provides general and project administrative support to one or more managers and multiple projects within a group, office or business unit including some of or all of the following: prepares or proofs correspondence, forms, spreadsheets, or documents, schedules meetings, makes travel arrangements, prepares expense reports, and reviews emails for actions.

  • Manages correspondence with clients, external consultants, and internal discipline leads.

  • Creates, reviews, and manages reports, documentation, and spreadsheets.

  • Develops and updates logs, and project records (project file) following established procedures.

  • Assists with review of invoices and maintaining billing rate records.

  • Prepares and reviews meeting agendas and minutes, and coordinates between leaders within multiple offices for meetings and project reviews.

  • Familiar with standard concepts, practices, and procedures within the architecture, engineering, design and consulting fields.

  • Relies on experience and judgment to plan and accomplish goals.

  • Uses Word, Excel, PowerPoint, Outlook, and other programs to accomplish work.

  • Works under general supervision.

  • Able to work normal business hours in the office a minimum of three days per week. This is not a fully remote position.

Qualifications

Minimum Requirements :

  • High school and 4+ years of experience or demonstrated equivalency of experience and/or education.

Preferred Qualifications:

  • Associate or bachelor’s degree in a related field, with 2+ years of relevant experience in a professional office environment.

  • Knowledge of office management systems and procedures.

  • Working knowledge of traditional office equipment).

  • Proficiency with MS Office software (Oulook, Excel, Word, PowerPoint, Teams and SharePoint).

  • Excellent time management skills and the ability to prioritize tasks, assigned by various team members .

  • Attention to detail and problem-solving skills.

  • Excellent written and verbal communication skills.

  • Strong organizational skills with the ability to multi-task.

  • Work experience in consulting industry.

  • Ability to thrive in an office team environment

Offered compensation will be based on location and individual qualifications. The expected range is $25.00/hour - $40.00/hour.
