Job Summary

The Admin III Specialist provides overall coordination and support for the Homeless and Housing Services while supporting the daily administrative functions for a YMCA branch site. This position works primarily out of our Seattle office and supports the daily operations of clinical staff throughout the Y’s 14 branches. This position will be the admin support for the varies different contracts within our Homeless and Housing Services.

This position is with the Y Social Impact Center, the social services division of the YMCA of Greater Seattle (YGS), serving around 5,000 youth, young adults, and families every year in communities across King County, Pierce County, and various counties across WA. Through our programs we aim to strengthen young people’s ability to develop to their fullest potential through four strategies: reducing risk factors; navigating systems towards successful life transition; establishing stability, safety and wellness in times of crisis; and building competencies and social capital. The Social Impact Center’s programs include homelessness prevention, housing, behavioral health, crisis response, foster care licensing, violence prevention, and employment. Since many of the young people we serve have been involved in the foster care, criminal justice, behavioral health, and/or homelessness systems, we truly value relatable lived experience of our staff and those applying for our positions as an asset.

Position Type/Expected Hours of Work

This is a full-time position, and hours of work and days are Monday through Friday, dayshift. The position requires in-person office flexibility within a hybrid work model. Generally, the position requires you to be in the office 4 days a week. With occasional later shift for support of client appointments.

    Hiring Range: $22.00 – $24.20/hour

Responsibilities

  • Develop and implement program administrative processes, guidelines, and workflows for administrative, program, and department staff.

  • Demonstrate flexibility and accessibility within a hybrid work model, maintaining effective communication with on-site and remote teams supporting programs and participants regionally.

  • Conduct analysis and gather requirements for community data collection.

  • Attain optimal understanding of HMIS, Credible, and other relevant data systems as necessary.

  • Offer support across the agency for housing and homeless programs, as well as other programs within the Y, covering projects and staffing needs as required.

  • Verify eligibility, facilitate billing processes, and communicate information to clients.

  • Cultivate and maintain effective, professional relationships with all clients, families, and staff members.

  • Provide comprehensive administrative support to programs and department staff, remaining current with program changes.

  • Compile and prepare data/reports on a regular basis, identifying and documenting trends for leadership review.

  • Assist with audit and year-end report preparation.

  • Maintain relational databases, process paperwork, and manage related directories and files.

Qualifications

  • Minimum of 2 years of relevant experience in program administration and data management.

  • Proficiency in computer documentation, apps, and online data management.

  • Ability to work both independently and within a team.

  • Demonstrated experience in handling complex data and maintaining databases.

  • Extensive tenure working with government grants and contracts.

  • Additional relevant education, training, and experience will be considered.

  • Highly skilled in multitasking, prioritizing, and organizing, with a positive demeanor for interacting with clients, staff, and visitors.

  • Strong professional and organizational skills with meticulous attention to detail, timeliness, and follow-through.

  • Direct experience and proficiency with Microsoft Office Suite and web-based electronic records.

  • Ability to thrive in a fast-paced, constantly changing environment, managing multiple deadlines efficiently.

  • Knowledge of and previous experience with diverse populations.

  • Evaluation of transferrable skills from personal, professional, educational, volunteer, and non-traditional experiences.

    Additional Preferred Qualifications

  • Preference for experience working with government grants.

  • Preferred experience working with ledgers, lease agreements, and accounting documents.

  • Life experience with poverty, child welfare, homelessness, behavioral health, or youth violence, with a desire to utilize such experiences to improve the lives of others.

  • Ability to speak languages other than English may be advantageous.
