This position will direct day-to-day operations for the Full-time and Evening MBA Programs. Manage many aspects of student services, develop policies, and participate in curriculum development and implementation. Manage budgets for the Full-time and Evening MBA Programs, including Admissions, Operations, Student Affairs, and Strategic Consulting. Serve as liaison with Dean’s Office financial services to ensure accurate and timely support. Manage student data systems. Coordinate data collection, analysis, and reporting for internal surveys and queries and external rankings surveys. Manage MBA scholarship process.

DUTIES AND RESPONSIBILITIES Manage budgets for Full-time and Evening MBA Programs, including Admissions, Operations, Student Affairs, and Strategic Consulting (20%)

• Develop budget for MBA Operations and advise other teams (Admissions, Student Affairs, Strategic Consulting) on budget planning and development. Project revenues for MBA Program budget. • Manage the coordination of budgets for our work groups. Integrate budgets for the groups during budget planning and reporting to Deans. • Report budget status monthly to program team leaders and deans. Indicate areas of concern. Provide budget transaction information and specialized reports to team leaders and deans as needed. • Advise team leaders, Assistant Dean, and Associate Dean on issues relating to our budgets. Advise staff, faculty, and students on proper procedures for various budgetary and purchasing transactions and refer them to appropriate resources. • Coordinate with Dean’s Office fiscal services team to ensure accurate and timely processing of all MBA related budget transactions, including travel and personal reimbursements, purchase orders, Procard transactions, cash transmittals, cross-campus billings, etc. • Review and reconcile MBA Office Procard accounts. Upload necessary paperwork to Foster shared drive for Financial Records. • Reconcile the MBA Program budgets monthly and review the quarterly Dean’s Office budget reports against our records, resolve any discrepancies, and explain variances. • Make budget transfers as needed among MBA budgets and to budgets in other departments. • Approve budget expenditures.

Manage MBA rankings and other data requests and surveys of students and alumni (15%)

• Manage the compilation of current Full-Time and Evening MBA student data for various ranking surveys, including Bloomberg Businessweek, US News, Forbes, Fortune, Financial Times, Economist, AACSB, among others. • Manage the collection of data about students, including admissions, academic, and career information. Request data from other Foster School departments needed to complete surveys. • Advise Assistant Dean on messaging for students and alumni regarding completion of rankings surveys and presenting rankings survey results. • Develop, manage, administer, and compile various surveys of current students, including end-of-year/exit surveys and incoming student surveys. Report results to administrators, faculty, and program staff as needed. • Manage the collection of employment data for the Evening MBA Program. Combine, clean, and review data for MBA rankings and CSEA survey. • Perform special analyses of data for Associate Dean and Assistant Dean as needed. • Coordinate alumni information updates with Advancement Alumni Relations. Request updated alumni contact and other information from Alumni Relations when needed for survey purposes.

Manage scholarships for Full-time and Evening MBA students (15%)

• Work with Advancement Office to determine available scholarship funding. • Work with Admissions staff to disburse merit scholarships to incoming students. • Advise Director of Admissions and Assistant Dean on scholarship acceptance by incoming students to inform their scholarship assignments. • Participate on the MBA Scholarship Committee. • Match scholarship funds to individual awards and maintain tracking systems. • Work with Associate Director who will assist with implementation, tracking, and disbursement of scholarship awards, including entering awards into AcademicWorks scholarship system, communicating awards to students, ensuring submission of required thank you letters, disbursing awards via the SDB system, and providing scholarship reconciliation and NRD stipend waiver appointments to the Dean’s Office. • Manage disbursal of special Foster employee and Gates Foundation scholarships.

Oversee scheduling of MBA classes (15%)

• Manage, develop, and confirm course options for the Full-time and Evening MBA programs. Work in conjunction with the Associate Dean, Directors of Student Affairs, academic department chairs, departmental administrators, and individual faculty to make the best possible schedule of core and elective courses for both MBA programs. Negotiate changes to the elective schedule with departmental chairs, administrators, and faculty as needed to optimize schedule. • Work with Associate Dean, academic department chairs, departmental administrators, and faculty to push MBA course curriculum change proposals through the Faculty Council, Master’s Program Committee, and the UW Curriculum Committee. • Prepare elective forecast (Year-at-a-Glance) for the Full-time and Evening MBA programs, review it with the Associate Dean and student affairs directors, and communicate this forecast to the academic departments. • Work with Associate Director to analyze data from past course schedules and enrollments, EDW data, course evaluations, and current student surveys to assess the level of student interest for various topics, faculty, and courses.

Supervise Associate Director of Operations who manages the scheduling of all Foster classrooms, MBA registration, section and team assignments, Dean’s List compilation, graduation request processing, DARS updates, Evening MBA tuition billing (15%)

• Supervise Associate Director who assigns all Foster classes into classrooms, enters some classes into the UW Time Schedule Construction system, and reviews data entered by academic departments for accuracy. • Supervise Associate Director who manages the EMS room scheduling system for Foster-controlled classrooms. Approve bookings into the classrooms and MBA controlled public spaces and team rooms in Paccar. Serve as the back-up for EMS reservations in Associate Director’s absence. • Oversee and review the assignment of Full-time and Evening MBA students to core sections and teams by Associate Director of Operations, using many demographic and academic criteria, ensuring balanced and fair assignments. Oversee and review assignment of students by Associate Director to Applied Strategy project teams. • Oversee compilation of quarterly and annual Dean’s Lists for Full-time and Evening MBA Programs. • Oversee the processing of graduation requests on MyGrad, communicating remaining degree requirements to students, and finalizing graduation status once grades have been recorded. • Ensure requirements reflected in DARS for both Full-time and Evening MBA Programs are accurate and work with UW IT programmer to make changes as needed. • Supervise the registration and tuition billings of our fee-based Evening MBA students in the SDB system. Check input for accuracy. • Advise Associate Dean and Assistant Dean on possible changes to MBA Program curriculum or requirements and best ways to implement new ideas. • Assist with logistics for student services events, including annual graduation ceremony, for both Full-time and Evening programs. • Oversee Associate Director, who creates and develops Canvas courses for our staff and faculty. Ensure that new courses are built for faculty and staff as needed, enroll students, download/upload materials, etc.

Act as manager of IT, HR, Facilities, and special projects for MBA Program Office (20%)

• Work with the Manager of CRM Systems and Director of IT on implementation of existing software, such as Salesforce, Radius, AcademicWorks, the MBA Directory/Portal, the MBA Pre-Registration system and other new program related software. • Serve as a liaison on behalf of MBA Program Office staff to HR, IT, and Facilities to ensure office needs are met. • Manage the Salesforce data integration for Full-Time and Evening MBA students and applicants, work with the Manager of CRM Systems to resolve any issues or discrepancies. • Oversee the user experience of Salesforce for the MBA Program, suggest improvements and new implementations to the Manager of CRM Systems, and provide basic training and tutorials for the MBA Program staff. • Oversee the shared front desk with MBA Career Management, develop new standard operating procedures, and train new staff. • In coordination with MBA Office team leaders, ensure staff are given the proper tools, such as computers, phones, desks, chairs, and office supplies, to perform duties. • Work with Assistant Dean on budgeting and logistics relating to MBA Office staff retreats and events. • Perform ad hoc analyses for Assistant Dean on various data that relate to students, applicants, class enrollments, scholarships, expenses, and revenues. • Manage the priority reservation system for Foster to ensure that departments will have classroom spaces to run their curriculum/class-related events and flagship programs. • Oversee staff ordering and inventory management of office supplies to ensure we have necessary supplies and do not exceed our budget for special items, such as promotional materials. • Act as Records Manager for the MBA Program Office, maintaining all paper files and electronic records as required by the University and state law. Assist with organizing existing shared drives and files.

Other duties as assigned. MINIMUM REQUIREMENTS

• MBA or Masters in Higher Education Administration preferred. • At least 5 years work experience, preferably in MBA or other business-related student services. Prefer 2 years of supervisory experience.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. DESIRED QUALIFICATIONS

• Program management and event coordination experience. • Proven ability to manage detail, student records, and maintain strict confidentiality. • Training in use and development of databases and spreadsheets. Training in statistical analysis and reporting. • Demonstrated strong interpersonal/counseling skills, both verbal and written, and the ability to work with many different constituencies. • Demonstrated ability to manage multiple projects with competing deadlines. • Experience using Radius, Salesforce, AcademicWorks, and UW systems, such as MyGrad, EDW, and SDB preferred. Experience with UW ARIBA, Tableau, and MyFinancial Desktop systems preferred. • Ability to work some evenings and weekends.
