The UW Bothell School of Business has an outstanding opportunity for an Academic Program Coordinator (Program Coordinator (NE S SEIU 925 Non Supv)) to join their team. DUTIES AND RESPONSIBILITIES Academic Time Schedule & Classroom Assignment Management
Work with Associate Dean to prepare academic course schedule for the School of Business across all programs.
Support Associate Dean and Area Coordinators to complete staffing of quarterly course schedule for the School of Business in a timely manner, including ensuring availability of part-time faculty.
Ensure that part-time faculty contracts match the time schedule.
Serve as School of Business liaison with UW Bothell Registrar's Office for course/time schedule and room scheduling. Collaborate with the Registrar and other liaisons to ensure needed classrooms are allocated to the School of Business and scheduled.
Work with campus/university systems to enter approved time schedule on time and maintain the time schedule accurate. Coordinate with Associate Dean of Administration and Program Directors to implement and ensure accurate and updated student course registration structure according to approved curriculum and program requirements.
Ensure accurate/planned schedule information is published each quarter on the campus Academic Registrar’s Time Schedule.
Assess School room usage and make suggestions to optimize and maintain fairness across academic areas and students’ needs.
Monitor course enrollment and alert Associate Dean as needed.
Assist faculty in resolving classroom issues, reservation needs (including those for course projects, presentations, make-up exams outside of normal class time). Ensure that any issue is taken into account for future schedules.Curriculum Management Administration
Provide support to Associate Dean and faculty in preparing, writing, and revising curriculum forms and preparing proposals across all programs.
Provide support in collecting data and market research information to support new program initiatives.
Help plan course and schedule needs associated with new programs.
Manage the change process for curriculum additions and changes (e.g., new course proposals) and programmatic proposals (e.g., new option, new minor) throughout the curriculum approval process beyond the School of Business.
Collect materials, document decisions, and maintain records for curriculum approval and review.
Submit needed documents for curriculum review.
Track curriculum proposals approved by the School of Business through the University process, including liaising with CCASC, UW Curriculum Office, and other stakeholders to ensure process actions are addressed. Attend meetings as needed.
Stay up-to-date on UW requirements around curriculum and change processes.
Enter course and program proposals into the UW Kuali Curriculum Management system and maintain that system up-to-date.
Attend UG or Graduate Council meetings as needed.
Assist with regular review of programs.AACSB Accreditation Date Collection and Records Management
Familiarity with AACSB standards.
Ensure the collection and organization of AACSB Assurance of Learning materials for all the learning goals of the School’s academic programs.
Create reports and summaries related to the assessment of learning, research, course evaluations or other types as needed to provide regular updates to the school’s leadership and faculty.
Work with Associate Dean, Program Directors, and faculty, to collect and organize data around experiential learning across all programs and provide regular reports to school leadership and faculty.
Ensure data and documentation required for accreditation are appropriately retained and easily accessible.
Calculate ratios of faculty qualifications and of participating/supporting status on a Quarter-by-Quarter basis and reporting same to faculty and administration.
Assist in preparing reports for AACSB accreditation as well as other program reviews.Course Evaluation Management
Set up evaluations for quarterly courses in the UW IASystem.
Communicate course evaluation information to faculty.
Manage course evaluation data and create reports of teaching excellence.Part-time Faculty
Keep organized records of part-time faculty, their course evaluations, and their resume.
Maintain a centralized pool of potential part-time faculty to assist area coordinators with needs.Program Support
Gather all quarterly course syllabi.
Provide support to Associate Dean on special initiatives and projects.
Provide support to all programs based on needs. This may involve supporting recruiting events, student club events, and more. MINIMUM REQUIREMENTS
High school graduation or equivalent AND two years of experience in academic support OR equivalent education/experience. ADDITIONAL REQUIREMENTS
Demonstrated attention to detail and strong organizational skills.
Excellent customer service skills.
Excellent interpersonal, speaking, and writing skills.
Proficiency with MS Office/Office 365. DESIRED QUALIFICATIONS
Bachelor’s degree plus 3 years of work experience.
Experience and familiarity with academic programs in a university setting.
Experience with administrative procedures and practices in a high compliance environment.
Experience as a program coordinator in a university setting.
Ability to manage complex situations.
