Administrative Assistant Terrace 30 hours per week Wesley Homes is a faith based organization providing retirement communities and a network of services for older adults. Wesley Homes has an opening for an Administrative Assistant on our Des Moines campus Terrace Building. Typical hours will be three 10 hour days (30 hours per week) . Hours and days worked may vary based on the needs of the business. The general functions of this position include: answering phones, greeting and assisting visitors, mail handling, computer work, some photocopying and distribution, some office machine maintenance, and teaming with other front desk staff to accomplish tasks of the Front Desk areas. Job Duties: Greet residents, visitors, and staff with professionalism and a helpful manner, understanding that you are the first impression visitors receive when arriving. Ensure all visitors sign in and out of the guest book. Maturity and sensitivity toward residents, staff and visitors. Answer and route phone calls in a pleasant and articulate manner offering assistance to those seeking information and connection with Wesley Homes' staff. Must be able to manage emergency medical calls and assist residents in need of nursing contact. Word processing, photocopying, database input, spreadsheet and charting work as assigned. Assist with various assignments which may include resident mail, forms, and information gathering and dissemination; assist with the ordering of door plaques/nameplates. Assist with overseeing common meeting room use activity and scheduling; scheduling and calendar production if necessary. Assist with guest meal booking and reporting for billing. Maintain order in work areas. Keep copy machines and fax machines stocked with paper and in good working order. Work as a team member to ensure that assigned tasks are completed in a timely manner. Work with Emergency Response System. Other duties as assigned by the department lead. PERFORMANCE REQUIREMENTS: Exemplary attendance and punctuality. High school diploma or equivalent. Able to answer telephones in a professional manner, take clear and complete messages and/or direct calls to appropriate person(s). Microsoft Office experience. Accounting Knowledge a plus. Ability to operate office equipment, i.e., copier, fax machines. Must be self-motivated, able to work independently, organized, able to prioritize work, and able to maintain confidentiality. Pleasant demeanor and poised receptionist capabilities, including good communication and public relations skills; cooperative attitude when working with other staff members. Professional business dress and appearance. Maturity and sensitivity toward residents, visitors. Ability to handle frequent interruptions. Willingness to train to support other workstations and front desks as needed.
