Port of Seattle Engineering Invoice and Asset Specialist in Seatac Airport, Washington
Some of what you'll be doing:
As an Engineering Invoice & Asset Specialist, you will support the management of engineering construction contracts, service agreements and service directives by assuring the effective delivery of the invoicing payment process and contract administration. You will also manage assets assigned to department employees, consultants and facilities.
You will ensure all financial obligations for consultant invoices or other Contract/Service Agreement/Service Directive payments are processed and paid in a timely manner and in compliance with major construction or other engineering contracts.
You will ensure all invoices are correctly coded with different chart field combination and following procurement policies.
You will serve as liaison between departments and external contractors, vendors and collaborate with department Contract Specialist to research, reconcile and resolve payment issues, and retrieve essential documents such as corrected invoices or insurance certificates.
You will manage the onboarding and offboarding process with related to assets assigned to Engineering Full-Time Employees (FTEs), interns and consultants.
You will manage department assets including all Information and Communications Technology (ICT) hardware, software, mobility asset, furniture, engineering equipment, such as survey and safety equipment and wide format printers. You will also work regularly with ICT on purchases of cell phones, software and other equipment.
You will set up equipment for employees and provide equipment and office furnishings, and procure specialized tools, or coordinate workstation or ergonomic set up needs.
You will update and ensure accuracy of master database and all other records or spreadsheets and complete disposition forms for damaged or old assets.
You will communicate regularly with the team, department, customers to provide information and input on goals, projects and plans.
You will collaborate and back up other team members in support of facility, fleet and financial management.
Who you are:
Experienced – You have four (4) years of experience working in contracting and/or billing/invoicing in support of asset, fleet management or facility support.
Desired – We hope you have experience providing support and services, and giving presentations to vendors, and/or client.

Proficient – You have knowledge of public sector and policies relating to contract administration, procurement, generally accepted accounting principles and financial reporting. You have knowledge of invoicing processes and systems and asset procedures. You also understand asset tracking and logistics required to support the needs of multiple engineering disciplines and worksites.
Efficient Communicator – You possess excellent customer service and interpersonal skills. You have effective verbal, written and active listening communication skills and can write concise, organized and clear communication to internal and external customers.
Analytical Problem-Solver – You possess effective time management, organizational, analytical, problem solving and decision-making skills and have a high attention to detail and level of accuracy.
Technically Skilled – You have knowledge of Microsoft Word, Excel, Teams, SharePoint, PS Financials and Cor360.
What else you need to know:
Work Schedule – Your normal work schedule will be Monday – Friday, 8:00 a.m. to 5:00 p.m. (40 hours per week). Slightly more flexible start and end times are available in this role.
Work Environment - This work will take place in a hybrid/in-office setting at Management’s discretion.
Washington State Residency Requirement – Employees must establish a residence in Washington state within 30 days of their first day of employment and must maintain a residence in Washington State during their employment with the Port of Seattle. If a position is eligible to telework, work performed while teleworking must be performed in Washington State.
Overtime Eligible – You are eligible for overtime pay in this role.
Security Requirements – As the successful candidate, you must pass a Transportation Security Administration (TSA) background check as well as a criminal history background check with the Federal Bureau of Investigation (FBI). Your employment will be contingent upon obtaining a Port of Seattle ID badge upon clearance.
