We are seeking an outstanding individual to fill a Project Coordinator role to support the multiple ND projects/programs and Sectors within the DOE Office of Science. These sectors include the Office of High Energy Physics and the Office of Nuclear Physics. The incumbent will play an integral role in PNNL’s ongoing success by delivering high quality support throughout the project life cycle. These programs and sectors produce several proposal calls annually, and provide the opportunity to work with project managers, project coordinators and project staff across the PNNL campus.

The successful candidate must have excellent communication skills, be customer focused, comfortable engaging with a broad range of audiences, and work well in a teaming environment. The range of daily contacts for this position includes staff at all levels from the Applied Radiation and Detection group and key project/program managers, as well as project managers and support staff within the Physical Sciences Facility, across the Signatures Science & Technology Division and in some cases across the entire lab. Work assignments are received from Sector Managers, Program Area Managers, the Business Offices, and other Project Coordinators.


Assists in daily coordination of project(s) including preparing and maintaining project plans, budgets, and staffing requirements. Tracks progress and identifies/resolves obstacles. Communicates to internal and external clients. Prepares purchase requisitions (PRs) and tracks procurements and service contracts throughout lifecycle. Supports business office in setting up financial structures, work breakdown structures, and maintains financial integrity. Has knowledge of a wide-range of PNNL business systems. May perform some administrative tasks such and arranging meetings, developing agendas and preparing progress reports.

Responsibilities for this position include but are not limited to the following:

• Execute project coordination from the proposal development phase through project close-out; including but not limited to proposal cost sheets, budget planning and management, tracking actions, milestones, and deliverables, placing procurements and purchase orders, and confirmation of all steps for project close-out.

• Maintain good working relationships with the field project coordinators, budget office, business office and project managers and principal investigators.

• Provide Program and Sector tracking and reporting as needed and independently complete ad hoc reports, and other requests as identified by the sector and program managers, business office and lab management.

• Prioritize critical project activities and maintain a high degree of responsiveness and flexibility in a constantly changing work environment, as well as anticipate needs on behalf of project/program managers.

• Utilize expert knowledge of PNNL systems, processes, and policies to efficiently and effectively manage budgets, and seek out continuous process improvements.

• Coordinate and collaborate with the NSD business office and other directorate business offices to ensure budget expectations and requirements are met.

• Coordinate and maintain project files compliance and process for closeout and archive.

• Manage project/program priorities and deadlines independently with the use of good judgment.

• Assist in establishing time lines and templates for proposal calls and provide support to PIs throughout the proposal process to ensure that successful proposals are submitted on time.

• Mentor junior project coordinator and administrative staff to ensure the office has adequate support to maintain good home and work life balance.

• This position will require the ability to hold a clearance and desire to work in classified space as needed.


Minimum Qualifications:

  • Bachelor's degree and up to 2+ years of relevant experience

  • Advanced degree

Preferred Qualifications:

  • Strong oral and written communication skills.

  • Demonstrated intermediate to advanced Excel skills.

  • Extensive knowledge of Battelle, PNNL, and DOE project management, proposal, financial policies, procedures, resources and organizational structures.

  • Demonstrated intermediate to advanced Microsoft Project Skills.

  • Familiarity with research and development organizations is highly desirable.

  • Skilled with electronic communication tools for collaboration a plus.

  • Experience with the various internal programs as they relate to access to business sensitive information is a plus.

  • Knowledge of PeopleSoft software system is preferred.

  • Experience with internal PNNL financial programs such as EPR, PPS, ATM, PPM, BI, PMR, PAR, IRM Queries, etc.

Additional Information

This position requires the ability to obtain a federal security clearance in a timely manner. Which requires:

  • U.S. CitizenshipBackground Investigation: Applicants selected will be subject to a Federal background investigation and must meet eligibility requirements for access to classified matter in accordance 10 CFR 710, Appendix B.

  • Drug Testing: All Security Clearance (L or Q) positions will be considered by the Department of Energy to be Testing Designated Positions which means that they are subject to applicant, random, and for cause drug testing. In addition, applicants must be able to demonstrate non-use of illegal drugs, including marijuana, for the 12 consecutive months preceding completion of the requisite Questionnaire for National Security Positions (QNSP).

Note: Applicants will be considered ineligible for security clearance processing by the U.S. Department of Energy until non-use of illegal drugs, including marijuana, for 12 consecutive months can be demonstrated.

Testing Designated Position

This position is a Testing Designated Position (TDP). The candidate selected for this position will be subject to pre-employment and random drug testing for illegal drugs, including marijuana, consistent the Controlled Substances Act and the PNNL Workplace Substance Abuse Program.
