Job Duties/Scope Of Work JOB SUMMARY: This position resides within the Prime Contracts Department and oversees and manages the correspondence program for HMIS and for another Hanford Contractor. As on-time submittals are key to performance incentives, the Program Manager takes great pride in early/on-time delivery of quality products and consistently seeks improvements to both the process and to the customer service provided to internal and external customers. * Seeks feedback on a regular formal and informal basis to incorporate lessons-learned to move forward continuous program improvement and exemplary satisfaction of customer service. * Maintain metrics, dashboards, and performance reporting as required and needed for HMIS and for DOE as requested. * Interfaces regularly with all levels of management and employees including senior leaders, legal counsel, technical staff, administrative assistants, contract specialists, subcontractors, and Other Hanford Contractors correspondence staff. * Oversee Correspondence Control Specialist execution of distribution duties. * Ensure compliance with deliverables and letter/project submittal due dates and drive early completion when possible. * Conduct thorough reviews of workflow packages to ensure adherence to quality objectives. * Track key performance metrics and provide support to subcontractors and the company. * Perform final reviews of documents within working folders against HMIS Correspondence guidelines for formatting, OUO markings, document titles, document numbering, and correct RL CC list and collaborate with appropriate staff to correct errors. * Ensure compliance with regulatory requirements and company policies. * Facilitate and deliver comprehensive training sessions for team members. * Develop and implement standardized procedures to enhance efficiency and productivity. * Provide ongoing support in updating and maintaining correspondence procedures, style guide, and related desktop instructions. * Perform Buyers Technical Representative (BTR) duties and collaborate with HMIS Procurement, as well as necessary subcontractors to ensure seamless integration with customer needs and project requirements. * Initiate proactive measures to identify and mitigate potential risks. Basic Qualifications * Bachelors degree -OR- an equivalent combination of education and experience, PLUS at least 8 years of related experience (i.e. Correspondence, control, prime contract administrative duties). * The successful candidate must be able to articulate information and facilitate conversations on the phone, virtually, or in writing. * Must be able to manage a heavy workload within a fast-paced environment, meet multiple deadlines, and be responsive to ever-changing priorities. • Ability to communicate clearly and concisely, both verbally and in writing on all levels. • Detail-oriented with strong organizational skills and the ability to support multiple tasks and assignments. • Ability to build and maintain successful working relationships with stakeholders and coworkers. • Strong analytical and problem-solving skills. • Ability to appropriately maintain high levels of confidentiality and protect Official Use Only (OUO) sensitive information. • Highly proficiency in Microsoft Word, Excel, Adobe, PowerPoint, and Outlook. * Needs to be available for occasional overtime or off-hours support to meet deliverable deadlines. * Has a continuous desire to improve. * Has a customer-centric attitude and understand that quality customer service is key. * Strong written grammar skills. * Produce high quality written products.
