Job Duties/Scope Of Work The job demands a blend of analytical thinking to follow procedures, time management skills to handle both urgent and long-term tasks, and creative problem-solving to address novel or unique challenges within the scope of correspondence. Correspondence Processing and General Tasks- * Receive and review incoming correspondence/letters to determine required processing. * Scan and index all (incoming and outgoing) hard-copy letters and attachments using PDF-searchable or format or place electronic native files into the appropriate Managed Records folder in IDMS. * Follow designated contractor-specific procedures, desk instruction, and company policies. * Assign sequential correspondence control numbers as requested and maintain configuration management of linked correspondences. * Provide ongoing support in updating and maintaining correspondence procedures and related desktop instructions. Quality Control- * Provide quality control review of electronic correspondence packages for proper formatting, OUO markings, document titles, and document numbering before transmittal. * Ensure Controlled-Use Information correspondence is properly labeled at the time of receipt.Distribution Management * Distribute emails with links to the documents, ensuring electronic availability in IDMS. * Initiate signature workflows within DOE records management system. * Resolve records issues identified during QC verification before transmitting electronic correspondence to DOE and placing into the appropriate area of the DOE records management system. Records Management- * Make copies of non-sensitive items in the letter package identified as Controlled-Use information and place them in the appropriate area of the DOE records management system. * Retire electronic record copies of all correspondence to the appropriate area of the DOE records management system. Basic Qualifications *BA/BS Degree -OR- an equivalent combination of education or work experience, PLUS 1 year of related experience. *Proficient in Microsoft Office products such as Word, Excel and Outlook. *Proficient in Adobe Acrobat Professional. *Must have strong written grammar skills. *Must possess excellent interpersonal, written and verbal communication skills. *Must possess strong attention to detail in a complex and fast-paced work environment and demonstrate the ability to quickly adapt to changing work demands and conflicting priorities. *Must be able to work in high-pressure situations while maintaining a good attitude and composure. *Ability to work effectively with varying levels of management. *Ability to occasionally work overtime or outside of normal business hours to meet contractual deadlines.
