Pacific Northwest National Laboratory Administrative Coordinator in Richland, Washington
Overview
This Administrative Coordinator position is within the Nuclear Engineering Group and provides administrative, logistical, and electronic support to the Tritium Technology Program (TTP) Project Manager and project staff. The incumbent performs administrative and office support activities. Duties may include managing schedules, emails, and travel; fielding telephone calls; receiving and directing visitors; word processing; creating spreadsheets and presentations. More specific duties depending on discipline may also include development of required documentation and fielding questions from internal or external stakeholders.
Responsibilities
The TTP supports NNSA’s Office of Defense Programs as the Design Authority for the Tritium Producing Burnable Absorber Rods (TPBARs). This work supplies a critical component of the nation’s strategic defense mission.
The incumbent will function as a “Project Administrator” for TTP, as position defined in various operating procedures. Responsibilities and accountabilities of the position include:
Provides administrative functions to the TTP PM and project staff that range from routine to complex, supporting one or multiple project tasks and sub-tasks.
Partner with the TTP Lead Administrator to coordinate administrative functions.
Receives primary tasking from the TTP Project Manager, the TTP Lead Administrator and other project task leads.
Interfaces with other administrators supporting TTP.
Arranges domestic and complex foreign travel, including for groups of project staff.
Sets an example for positive working relationships with coworkers, internal customers, and external project sponsors and project collaborative partners.
Track and assist in processing of publications using the Information Release System.
Independently screens calls, answers inquiries, makes appropriate referrals, and prioritizes incoming email.
Arranges and supports a wide variety of project meetings, including visits by sponsors and other external organizations.
The incumbent must demonstrate proficient use of standard office equipment; demonstrate extensive working knowledge of MS Office Suite; prioritize work and coordinate calendars/schedules; and be responsible for commitments and actions. Must understand office support functions and possess the ability to effectively apply procedures; work with minimal supervision; use discretion and good judgement about processing/disclosing sensitive or confidential information; direct workflow of others as appropriate. They must communicate and serve as an information resource on policies, guidelines, and procedures; demonstrate professionalism and tact; communicate in a positive manner; and exhibit discretion.
Qualifications
Minimum Qualifications:
High school diploma/GED and 6 years of relevant experience in an administrative environment -OR-
AA degree or higher and 4 years of relevant experience in an administrative environment
Experience in planning meetings and coordinating travel
Preferred Qualifications:
Experience in working on projects.
Calendar management/meeting coordination.
Ability to handle routine-to-complex administrative issues and demonstrate attention to detail and sound judgment in organizational activities.
Ability to manage and prioritize multiple tasks while working independently and effectively in a team environment.
Experience working in a high-energy, customer service, and teaming environment, with adaptability to changing priorities.
Additional Information
This position requires the ability to obtain and maintain a federal security clearance.

This position is a Testing Designated Position (TDP). The candidate selected for this position will be subject to pre-employment and random drug testing for illegal drugs, including marijuana, consistent with the Controlled Substances Act and the PNNL Workplace Substance Abuse Program.
