The Central Gaming Marketing Team is seeking an Executive Business Administrator to support the General Manager (GM) of the Xbox Programing & Events Team and their teams and own the Purchase Order process for the organization. The Executive Business Administrator will report to the GM of the Xbox Programing & Events . This exciting role requires collaboration skills, a high level of confidence in judgment, superior organizational skills, great attention to detail, the ability to meet tight deadlines, and strength in navigating and juggling multiple priorities. Responsibilities

The successful candidate will possess the ability to complete work quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without always having the total picture.

  • Manage and maintain a complex calendar daily to ensure accurate scheduling and organization

  • Make decisions on behalf of LT/Leadership members to ensure meeting requests meet agreed upon time management priorities and performance objectives

  • Coordinate domestic and international travel, including on-the-ground logistics

  • Track budgets and manage expenses in a compliant and timely manner

  • Coordinate scheduling and logistics of team meetings, All-Hands, events and offsites, including venue selection, meeting details, and material preparation

  • Provide team support, including headcount management, budget, morale events, DL management, and other tasks/projects

  • Manage space coordination with direction from the Lead Executive Administrator, new employee setup, and procurement of goods and services – including computer equipment, office supplies, reference materials and facility requests

  • Build and maintain good business relationships with administrative staff both internally and externally

  • Work as part of a highly collaborative, very energetic, Gaming Marketing Admin team to manage the needs of the overall organization and provide help and back-up as needed

Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management

  • 5+ years' of work experience as an executive/administrative assistant

  • 3+ years' of experience planning and scheduling large events

  • 3+ years' of MS Office and Productivity software including Word, Outlook, Teams, and Excel, as well as knowledge of tools used for managing headcount

Preferred Qualifications:

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)

  • OR equivalent experience

  • 2+ years experience serving as mentor to others.

  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)

  • Previous Microsoft experience as an Executive Assistant

  • Organizational and interpersonal skills

  • Works well under pressure and within short time constraints

  • Ability to prioritize work and complete projects on time, demonstrate drive and initiative, maintain confidentiality of information

  • Ability to pay close attention to detail and able to monitor complex plans and schedules and react with appropriate urgency to situations and events that require quick response or turn around

  • Able to work successfully in a team environment, build effective working relationships internally and externally with varying levels of collaborators and accommodate working styles and perspectives of diverse individuals and groups

  • Experience reviewing and managing administrative budgets

  • Attention to detail, problem-solving, organization, time management, and communication skills

  • Thrive in a global team environment, building effective cross-group relationships at all organizational levels

  • Adapt to diverse work styles and perspectives and respond urgently to changing situations

  • Exercise professionalism, integrity, and tact, especially with confidential information

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.
