The Customer Experience Architecture (CXA) organization, an organization within CE&S, is dedicated to the continuous innovation of technology and process architecture to enhance the customer experience.

As an Executive Business Administrator, you will report directly to the VP for CXA, supporting the CE&S Technology Office (CTO). You will work in close partnership with the Chief of Staff, team members within the Chief of Staff Office and other key stakeholders across CE&S and Microsoft.

We are seeking candidates who have excellent organizational, interpersonal and communication skills along with the ability to work independently and professionally at the Microsoft executive level. The ability to work successfully under pressure within short time constraints in a fast-paced team environment, build and maintain effective working relationships, accommodate diverse working styles in addition to attention to detail, problem-solving skills, and the ability to maintain strict confidentiality are essential to success in this role. This role is primarily remote, allowing you to work up to 100% from home. However, it may require occasional in-office support for the VP, as needed.

Responsibilities

• Support VP in person when VP is in office

• Manage a complex executive calendar, ensuring accurate scheduling including meeting logistics, and strategic prioritization of meetings.

• Proactively engages with leaders and key stakeholders/business partners to make decisions and cascade information as needed.

• Build an understanding of what is critical to the business, allowing you to make the appropriate decisions which impact the Leaders time.

• Work closely with the Chief of Staff on Rhythm of the Business (ROB) processes, ensuring tight coordination of Executive and Team commitments.

• Arrange domestic and international travel, including flight itinerary, hotel, logistics and conference registration.

• Submit accurate and timely expense reports for the Executive, and act as interim approver on all team expense reports, ensuring coding and cost center accuracy.

• Event planning including scheduling and logistics for all offsites and any other events sponsored by the VP/Chief of Staff Team. Contributes to development of workback schedule, promotion, and necessary checkpoints. Takes responsibility for event outcomes and demonstrates executive presence.

• Help create a fun team environment aligned to the team culture through oversight of the physical space, events, services, and engagement.

• Mentor other Business Administrators.

Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

  • Experience with Microsoft products and internal tools such as Microsoft Office Suite, Employee Central, iCIMS, MSSpace, MSExpense, MSTravel, MyOrder, MSInvoice, MSAuthorize, Informa, and SharePoint.

Preferred Qualifications:

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)

  • OR equivalent experience.

  • 2+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.

  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay Area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.
