Microsoft Corporation Executive Business Administrator in Redmond, Washington

Microsoft’s Global Trade team in Corporate, External and Legal Affairs (CELA) has an exciting opportunity for a talented and motivated Executive Business Administrator. The Global Trade CELA team plays a key role in Microsoft’s mission through international trade policies, strategies and solutions that foster a culture of compliance, trust, and innovation across Microsoft and with our partners and customers worldwide. This role will support Global Trade CELA’s Executive and Partner, Associate General Counsel. The ideal candidate must be highly organized, navigate and change directions quickly, and embrace a challenge head on with confidence, a calm sense of urgency, and a positive attitude. Must be highly collaborative, attentive to detail, and able to execute on multiple tasks, projects, and deliverables while achieving high-quality results. This role will be responsible for assisting with the team’s comprehensive communications and awareness plan and developing a plan for “roadshows” to raise awareness with stakeholders on various trade risks, how we address them, where we need their help.

Candidate should have strong communication, along with a professional demeanor and a desire to remove barriers to success. You must also practice consistent and timely follow-through. Successful candidate will have demonstrated experience supporting a team and/or leader in a fast-paced environment, strong planning, organization and time management skills, flexibility, ability to work independently, and be comfortable operating with ambiguity and prioritizing among multiple projects with a dynamically changing workload.


Responsibilities include but are not limited to:

  • Provide end-to-end calendar support for executive, including proactive planning of organizational and key stakeholder meetings in tandem with planned business working blocks and business travel to drive schedule efficiencies.

  • Coordinate meetings and events including, but not limited to, obtaining locations, setup, catering, and incorporating Teams and Live Meetings for virtual meetings/events.

  • Create and manage the team’s rhythm of business (ROB), including team meetings, business reviews, business reporting and filings, morale events to help ensure the business runs smoothly and effectively.

  • Knowledgeable of policies and procedures regarding purchasing, expense report submission, and domestic and international travel; reconcile and submit expense reports.

  • Hold the pulse of the leader, anticipate their needs, and positively influence outcomes.

  • Is deliberate and forward-thinking in approaching challenges.

  • Be a liaison with key internal stakeholders within CELA and a liaison with external key stakeholders.

  • Manage internal, external communications and org portal. Develop presentations, including content creation and orchestration across the team.

  • Manage organizational aliases.e familiar with opening external staff positions and it’s process.

  • Coordinate space management.



  • 5+ years experience in an executive administrative support role in a fast-paced work environment.

  • Strong verbal and written communication skills; ability to effectively communicate with business support community, key executive stakeholders and business leadership.

  • Strong organizational skills and attention to detail.


  • 2+ years of Business Management experience or project management experience (or equivalent).

  • Prefer prior Microsoft experience.

  • Strong problem-solving and troubleshooting.

  • Strong cross-team collaboration, with proven ability to work across organizations and reporting boundaries to get things done.

  • Must understand and be able to maintain confidentiality.

  • Exercise sound judgment, discretion, tact, diplomacy, integrity and professionalism at all times.

  • Knowledge of corporate organization and culture and ability to navigate it successfully

  • Ability to be flexible and work quickly and efficiently.

  • Ability to react with appropriate urgency to situations and requests.

  • Self-starter who can take initiative and work with minimal direction when necessary.

  • Proficiency with MS products including Outlook, Visio, Word, Excel, PowerPoint and/or PowerBI.

  • Knowledge of Microsoft internal tools such as Employee Central, iCIMS, MS Travel, MS Expense, MS Approvals, MyOrder, MS Invoice, and HeadTrax.

  • Have experience or familiar with law firm matter management.
