Job Description

  • This role will be part of a cross-functional business operations team supporting a hardware team within client.

  • Tasks will be primarily focused on vendor management, SOW/PO management and reporting – over time will include process improvements and training for the team.

    Vendor Management: - Work with vendors and internal stakeholders to confirm business needs and to clearly communicate and hold vendors accountable for reporting and deliverables. - Assist with third-party contractors - adding vendor to system, onboarding steps. - Communicate with vendors regarding PO/invoice, material requirement, and delivery schedule. - As needed, be POC for new Vendor-Managed Services to help navigate internal client processes. Contracts/Buying: - Create SOW’s and Purchase Requisitions, maintain invoice tracking against spend and forecast budget. Reporting: - Create reports and gives status on deliverables to management for invoice approvals. Financials:

  • Assist with budget tracking, forecasting and accruals for the team, including (as needed) maintenance of spreadsheets and data entry and validation of actuals into evolving tools.

    Documentation:

  • Ability to write How-To’s, update Wikis, and interface with multiple communication sources (chats, wikis, sites, google drives, sharepoints, etc.

    Skills: - Excellent verbal and written communication skills, ability to multitask. - Ability to work independently and manage one’s time. - Ability to keep information organized and confidential. - Balance the needs of the business with the needs of the vendor partners - strive to create win-win solutions that also uphold company policy. - Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint required - comfort with online applications, such as Google Suite and Sharepoint required. - Ability to keep self and team unblocked, by willingness to find resources, propose and implement solutions. - Customer-service viewpoint and with willingness/curiosity needed to debug both small and large problems. Education/Experience:

  • 3+ years minimal working with engineering/technical teams on budget/vendor issues.

  • Proven track record in vendor management issues and resolutions.

  • Financial/Business accreditations a preference.
