This team redefines the way people see the world and how they get things done. The W+D Mixed Reality team is hiring a Business Administrator to enable and support the efforts of this dynamic team.

As a Business Administrator, you will be working with an engineering team in a fast-paced environment and will leverage your planning, organizational and time management skills to impact and influence the day-to-day business needs of a high-functioning team.

Responsibilities

  • Manage calendars, making decisions on behalf of the VP to prioritize calendar requests based on shifting business priorities to ensure accurate scheduling and appropriate allocation of time.

  • Partner with a team of business administrators to support an engineering organization around travel and expense budgets, employee onboarding, manage space maps, and team events.

  • Maintain manager and group information with confidentiality.

  • Prepare and process expense reports.

  • Ensure a timely flow of information and process approvals as appropriate.

  • Communicate and build relationships with the business support community and business leadership.

  • Influence and collaborate with cross-functional/cultural teams.

  • Solve complex problems as well as the less complex problems.

  • Ensure compliance with the administrative operations policies and procedures.

  • Manage domestic and international travel plans and agendas.

Qualifications

Required Qualifications

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Other Requirements

Ability to meet Microsoft, customer and/or government security screening requirements are required for this role. These requirements include, but are not limited to the following specialized security screenings:

  • This role will require access to information that is controlled for export under export control regulations, potentially under the U.S. International Traffic in Arms Regulations or Export Administration Regulations, the EU Dual Use Regulation, and/or other export control regulations. As a condition of employment, the successful candidate will be required to provide proof of citizenship, U.S. permanent residency, or other protected status (e.g., under 8 U.S.C. § 1324b(a)(3)) for assessment of eligibility to access the export-controlled information. To meet this legal requirement, and as a condition of employment, the successful candidate’s citizenship will be verified with a valid passport. Preferred Qualifications

  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology)

  • OR equivalent experience.

  • 2+ years experience serving as mentor to others.

  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).

  • Interpersonal and communication skills, including teamwork, facilitation, and negotiation.

  • Analytical thinking and ability to quickly diagnose operational data, and then act on decisions.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $28.46 - $48.80 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $39.76 - $55.67 per hour.
