We are looking for an Executive Business Administrator to support two Microsoft Executive General Manager's (GM) and be an integral member of the Microsoft Security Response Center (MSRC) adminitrative leadership team. Responsibilities
Calendar and ROB Management
Provide strategic calendar management and time planning support for General Managers (s). Align calendars based on knowledge of manager's preferences and operating styles. Skillfully address meeting conflicts through delegation and prioritization, while keeping the manager informed. Navigate ambiguous situations to simplify decision-making processes.
Understand and take actions planning the rhythm of business (ROB). Proactively act in sync with the business cadence, including organizing leadership meetings, business reviews, All-Hands meetings, and other critical discussions.
Team Management Support (Headcount, Recruitment, Onboarding/Offboarding, and Purchase Order)
Coordinate team experience activities, collaborating with Global Talent Acquisition (GTA) for effective internal and external recruitment. Assist hiring managers in requisition setup using iCIM tool. Support intern and university recruitment initiatives.
Oversee onboarding processes, serving as a primary point of contact for new employees and interns. Facilitate connections between new hires and relevant stakeholders.
Collaborate with Business Manager(s) and/or Chiefs of Staff to manage headcount activities, including transfers, departures, reporting, and offboarding, utilizing headcount management tools. Identify system improvements and updates.
Assist in setting up quarterly purchase orders through MyOrder, ensuring timely processing under tight deadlines.
Collaborate closely with MSRC Corporate Vice President Executive Assistant, MSRC Chief of Staff, peers, and the teams Business Manager.
Travel Management
Handle travel arrangements, including accommodations and transportation, for manager(s). Take ownership of executive travel logistics, ensuring a seamless door-to-door experience. Collaborate with team members to plan meetings and logistical details.
Prepare and reconcile expense reports, ensuring processing. Interim approve the expenses for GMs direct reports and team.
Manage and maintain compliance with the relevant US Travel Tax Tool.
Event Coordination and Logistics
- Organize team morale events and broader division-wide morale activities. Drive proactive actions to ensure successful event outcomes. Coordinate with stakeholders to plan and execute events, manage supplier and business relationships, and handle post-event tasks such as result tracking and material distribution. Offer insights and best practices for future events based on learnings.
Space Management and Planning
- Maintain and update space management processes and team spaces. Collaborate with space planner and advocate for suitable space for the team. Utilize detailed space utilization data to recommend space assignment changes and anticipate future space requirements.
Qualifications
Required/Minimum Qualifications
2+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, calendar management, and administration work for executive/upper-level management.
1+ years of experience with Microsoft Outlook, Word, Excel, PowerPoint.
Additional or Preferred Qualifications:
3+ years experience serving as mentor to others.
2+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Proficiency with Microsoft tools, i.e., Employee Central (Internal Microsoft tool), ICIMS, OneNote, SharePoint, and Teams.
Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $22.79 - $39.66 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $33.03 - $45.91 per hour.
