We are seeking a driven Administrative Assistant to join our fast-paced and dynamic Growth & Innovation team. This role involves supporting a General Manager (GM) and a team of approximately 200 employees. The position requires strong organizational skills, the ability to anticipate the needs of a diverse organization, and a passion for delivering high-quality work.

Responsibilities

  • Provide calendar support for the GM, ensuring accuracy, timeliness, and alignment with senior leaders' priorities and commitments.

  • Coordinate logistics and execution of Rhythm of Business (RoB) activities, aligning with key timelines and deliverables.

  • Manage external staff onboarding, offboarding, and position tracking.

  • Procure and track hardware, office supplies, and other necessary equipment.

  • Coordinate logistics for team meetings and events, including morale-boosting activities.

  • Handle data management, including position number hygiene, recruiting administration, discretionary budgets, and expense report processing.

  • Assist with new hire onboarding, including hardware procurement, space assignment, and office moves.

  • Take on special projects as needed.

  • Strategically prioritize and manage a high volume of incoming requests, typically via email.

  • Maintain office space and manage facilities requests.

  • Perform tasks involving physical demands such as lifting, carrying, pushing, and moving items of light to medium weight.

Essential Skills

  • Minimum 4 years of experience with calendar support in Outlook.

  • Minimum 1 year of experience supporting a GM-level executive, including travel arrangements and expense processing.

  • Minimum 2 years of experience working with large teams of over 50 members.

  • Strong communication skills, both verbal and written.

  • Excellent interpersonal skills, including tact, diplomacy, integrity, and professionalism.

  • Ability to prioritize and manage multiple projects.

  • Strong organizational skills and attention to detail.

  • Ability to maintain confidentiality with sensitive and personal information.

Additional Skills & Qualifications

  • Experience with event management or coordinating logistics for complex meetings and events.

  • Analytical thinking skills.

  • Desire to drive team culture and community.

  • Ability to make timely decisions and exercise sound judgment.

Work Environment

This role is primarily onsite at our Redmond, WA office, with a hybrid option of 3 days onsite and 2 days remote each week. The work environment is a large, fast-paced professional office setting. The role involves working 40 hours per week, with no overtime expected. The team is supportive and cooperative, fostering a positive work environment without competition.

Pay and Benefits

The pay range for this position is $30.00 - $33.00/hr.
