West Sound Workforce is proud to partner with a highly respected specialty medical clinic in Port Townsend to find a temporary Front Office Assistant. With nearly 30 years of service to the North Kitsap and Jefferson County areas, this trusted clinic provides innovative solutions for hearing care while delivering unmatched service. As a Front Office Assistant, you will be joining a compassionate team that takes pride in offering the world's best hearing care and an exceptional patient experience. Reporting to the Office Manager, this key role will be the welcoming face of the clinic, responsible for greeting patients, managing appointment scheduling, and handling incoming calls with professionalism and care. You will collaborate with audiologists to ensure smooth daily operations while providing essential administrative support.
This role is ideal for someone who is technically savvy, quick to master new systems, and committed to creating an organized and supportive healthcare environment while delivering an exceptional patient care experience. Shift information:
- Full time, Monday-Friday
What you will do as Front Office Assistant:
- Answer and manage phone calls, respond to messages, greet patients, and handle appointment scheduling, rescheduling, and cancellations
- Prepare and maintain patient charts, verify insurance information, and manage referral documentation
- Process patient payments, schedule follow-ups, and relay messages between patients and providers
- Stock front office supplies, maintain a welcoming environment, and assist with special projects like file organization and inventory management
- Collaborate with external providers to ensure seamless patient care and information flow
What we are looking for:
- High school diploma required; associate degree preferred, with at least two years of front office experience strongly desired
- Proficiency with Microsoft Office and ability to navigate databases and scheduling systems efficiently
- Strong organizational skills and attention to detail to manage multiple tasks and information accurately
- Ability to work independently while communicating clearly and professionally with patients and team members
