::: {dir="auto"} GENERAL STATEMENT OF DUTIES: :::

::: {dir="auto"} The Program Assistant II oversees and maintains the flow of paperwork and information within and from one department to another and maintains the smooth functioning of basic office procedures. In addition, provides assistance to the public in areas relating to the assigned department, and maintains a working rapport with organizations/companies that the department works with and state and federal agencies for reporting purposes. :::

::: {dir="auto"} The Program Assistant II works under supervision of the assigned supervisor. The employee possesses considerable knowledge of methods and procedures and work is subject to a reasonably close check on quality and quantity. The Department Director/Manager may assign alternate supervisor. :::

::: {dir="auto"} • Receive incoming phone inquires, appropriately direct calls and answer routine questions. :::

::: {dir="auto"} • Schedules appointments in accordance with established schedules and guidelines. :::

::: {dir="auto"} • Maintain department supply inventory. :::

::: {dir="auto"} • Prepare a variety of correspondence, files, forms, calendars, training materials and reports, uses Word, Outlook and Excel programs utilizing word processing equipment. :::

::: {dir="auto"} • Process incoming and outgoing mail. :::

::: {dir="auto"} • Photocopy materials and perform basic maintenance on machines. :::

::: {dir="auto"} • File documents in accordance with established filing systems. :::

::: {dir="auto"} • Provide support to the Program staff, by preparing correspondence and arranging meetings. :::

::: {dir="auto"} 2. Assist clients and the public with preliminary program information when appropriate. :::

::: {dir="auto"} • Review the application process and provide service information. :::

::: {dir="auto"} • Schedule follow-up appointments in accordance with established schedules and guidelines. :::

::: {dir="auto"} • Establish and monitor calendars. :::

::: {dir="auto"} 3. Maintain records and reports that may require specialized accounting techniques. :::

::: {dir="auto"} • Close out client files after they have been completed and approved. :::

::: {dir="auto"} • Complete the close out of programmatic functions within the department as required. :::

::: {dir="auto"} • Prepare disbursement vouchers when applicable. :::

::: {dir="auto"} • Compile data and complete accurate monthly reports for closeout :::
