Position Purpose This position is responsible for coordinating faculty reviews and contracts on behalf of the Academic Deans. This role is primarily responsible for coordinating the faculty review provisions of the faculty Collective Bargaining Agreement, Faculty Handbook, and other applicable college policies to effectively manage the faculty review process. In addition, this position tracks faculty commitments, appointments, and assignments, produces faculty contracts, and curates both physical and digital faculty personnel files. Nature and Scope Under the general supervision of the Program Manager A (working title: Faculty Personnel Manager), this position works closely with the other staff members in the Deans Area to provide a wide range of academic support functions, such as providing faculty personnel information to faculty and staff; communicating policies and procedures to internal and external constituents; providing faculty review support; and providing academic project support and administrative support to eight academic deans and the Vice Provost for Academic Budget and Operations. This position may lead temporary staff and/or student employees when needed. Essential Functions Faculty Review Management Coordinate the faculty review processes as per the faculty Collective Bargaining Agreement, Faculty Handbook, and other college policies. Oversee and maintain systems (e.g., Banner, Excel, etc.) to track faculty contract requirements, review statuses, evaluations, and reports. Create, analyze, and interpret reports based on faculty contract data. Coordinate all regular and adjunct faculty reviews, including conversion, reappointment, 3rd year, annual, and five-year review processes based on the faculty Collective Bargaining Agreement protocol and timelines. Establish annual Deans Group Lists for review by deans and maintain them for the Academic Deans Area. Notifying faculty of review processes and schedules. Assemble review panels for deans. Coordinate and schedule review meetings, evaluation conferences, and program visits for all deans. Administer the faculty digital portfolio system, including creating digital portfolios for faculty, providing instructions for use, and communicating to faculty on behalf of deans regarding portfolio submission requirements. Support the deans in the preparation of letters to the Provost as well as review candidates and panelists. Track and add new faculty to designated Regular Faculty Divisional Groups.
