Job Summary:
The Reception Specialist will be responsible for managing the reception area including handling calls through the company phone system, and greeting and processing company visitors, ensuring compliance with Foreign National Visitor Export Control requirements for entrance to the site.
Essential Functions:
Manage the company multi-line phone system, providing prompt, courteous and professional service to all incoming and outgoing callers
Human Resources projects and duties
Receive and screen all incoming phone calls, and transfer them to the proper individual based on established practices
Ensure that the Corporate Overview or a targeted message is operational on the LCD in the reception area.
Assists with dispatching and coordinating office-wide processes such as facilities maintenance, space planning, moves, and other events or projects with internal and external stakeholders.
Support the site data archival process including interfacing with internal customers and the site’s data archival service provider.
Process shipments daily with site’s preferred shipping carrier (such as UPS or FedEx)
Perform support functions for the Communications Team and other teams as needed
Coordinate and counsel hosts regarding Foreign National Notification and Escort Requirements
Research licensing (DSP,TAA and MLS) related to the visit if the visit is Defense related
Process Foreign National visits, including restricted party screening, verification of passports, issuing foreign national badges, completing the due diligence package, completing visitor NDAs when applicable
Process the signed due diligence package and file in the Export Compliance Central file
Pull export licenses from the State Department web site and enter license information into the licensing log in SharePoint and Oracle.
Support facilities with the badge access syste
Act as the relief to Office Services personnel as required
Any other tasks assigned by supervisor or management
· Non-Essential Functions:
Assist Accounts Payable as needed
Perform a variety of clerical duties
Contact vending company for issues with machines
Check condition of the American flag and order new one when required.Lower and raise flag as required
Minimum Qualifications :
Experience :3 – 5 years prior telephone system or customer service experience in an aerospace, industrial, manufacturing or high-tech environment desirable
Knowledge :demonstrated knowledge of ITAR regulations;Strong knowledge of Microsoft Outlook, Word, PowerPoint, & Excel
Skills : professional and friendly customer service; highly proficient in Microsoft Office; SharePoint skills desirable; ability to multi-task projects; excellent verbal/written communication skills
Education / Certification :High School Diploma or equivalent
Working Conditions :
Standard office environment
Work requires substantial visual concentration on detail
Working conditions are normal for a manufacturing environment
Manufacturing operations may require the use of safety equipment to include but not limited to: eye safety glasses, gowning, masks, hearing protectors, heel/wrist straps and any other required PPE
May be exposed to unusual environmental conditions such as loud noises, cold temperatures, confined spaces, dust or fumes
Ability to lift objects up to 25 lbs.

Salary range: $29.92 to $39.24. Several factors contribute to actual salary, including experience in a similar role or performing comparable job responsibilities, skills, training, and other qualifications. Some roles may be eligible for participation in performance-based bonus programs.
