Aston Carter Executive Assistant To President in Lynnwood, Washington

Large mechanical construction contracting company in Lynnwood, WA is currently hiring for an Executive Assistant who will directly support the President of the company. This position is looking for an amazing assistant who will show the leader on what it looks like to give up control, accept help, and utilize the support to the highest level. This individual needs to be hungry, creative, and supportive.

(Position Details)

Title – Executive Assistant to the President

Pay – $75k/yr. - 95k/yr. (all depending on relevant qualifications, industry, and tenure)

Schedule – Standard Monday - Friday Morning Shift

Location – Lynnwood, WA (100% Onsite)


  • Oversee the President's calendar, prioritize inquiries and requests, resolve conflicts, and make recommendations to ensure smooth daily operations.

  • Perform a wide range of administrative duties to support the President's leadership, including assisting with special projects, creating complex documents, reports, and presentations, preparing information for meetings, composing correspondence, managing contact lists, and arranging travel.

  • Function as the main point of contact for internal and external parties regarding all matters related to the President, including highly confidential or critical issues. Conduct research and prioritize actions, referrals, or responses, reflecting the President’s style and organizational policy. Communicate directly on behalf of the President.

  • Serve as a liaison and support the Board of Directors. Manage coordination for Board meetings and events, including scheduling, drafting agendas, compiling, and distributing materials.

  • Collaborate closely with the President to keep them informed of upcoming commitments and responsibilities and follow up, as necessary.

  • Coordinate all Board meetings, QBR’s and retreats and assist with other meetings and events as required.

  • Function as a "gatekeeper" and "gateway," facilitating smooth communication between the President and the team, demonstrating leadership to maintain credibility, trust, and support with the organization.

  • Collaborate with the Board of Directors to coordinate the President’s outreach activities. Follow up on contacts made by the President to nurture ongoing relationships.

  • Maintain discretion and confidentiality in interactions with the President and Board members.

  • Book travel arrangements and accommodations for all employees.

  • Collaborate on developing and implementing organizational engagement plans, focusing on employee recognition, DEI, and fostering workplace belonging.


  • 5-10 years of Executive Assistant experience with prior/current experience supporting c-suite executives (must have qualification).

  • Bachelor's Degree or higher

  • Travel management and expense management experience.

  • Ability to handle complex calendar management.

  • Strong people skills and the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.

  • Expert-level written and verbal communication skills.

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.

  • Demonstrated initiative-taking approaches to problem-solving with strong decision-making capability.

  • Emotional maturity.

  • Highly resourceful team-player, with the ability to also be extremely effective independently.

  • Proven ability to manage confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment .

Compensation is tied to the Colorado and Washington markets for jobs performed in Colorado and Washington. Other locations may be subject to variances based on location-related factors.
