General Responsibilities:

We are looking for a billing coordinator to join our billing operations team. The billing coordinator will be responsible for the billing process for assigned projects. Including project set up review, drafting invoices, obtaining reviewed approval, distributing invoices, tracking payments, reporting/analysis, keeping meticulous records, and resolving any discrepancies. The billing coordinator will handle client requests and follow up on any issues relating to the billing process.

Successful candidate for this role will be able to multitask without compromising the accuracy of their work and have a strong numerical aptitude and excellent customer services skills.

Essential Roles and Responsibilities:

  • Under general supervision, performs a variety of routine and non-routine moderately complex billing functions to ensure the proper preparation of accurate and timely bills to customers based on contract terms.

  • Processes various billing types ensuring all billing is internally approved and sent to clients on schedule, attaching all necessary backup.

  • Responsible for auditing complicated billing for accuracy prior to distribution.

  • Set up and maintain projects and routine portfolios in job registration system.

  • Research and resolve routine and non-routine billing questions and discrepancies following standard operating procedures.

  • Assist with the collection efforts which could include phone calls, emails, and letters.

  • Provide excellent client service by maintaining a positive and professional attitude as well as positive and cooperative relationship with peers, coordinators, and managers, as well as when interacting by phone, email, or in person with internal and external clients.

  • Notify and assist Project Managers with change orders.

  • Ensures signed contracts and amendments are executed and are on file.

  • Maintaining and updating records.

  • Follow safety rules, guidelines and standards for all projects. Participate in pre-task planning. Report any safety issues or concerns to management.

  • Be responsible for maintaining quality standards on all projects.

Requirements:

  • High school diploma or equivalent.

  • Minimum 3 years’ accounting related experience.

  • Associate degree preferred.

  • Experience in Microsoft Excel, Outlook and Word.

  • Valid driver’s license with acceptable violation history.

Desired Skills :

  • Working knowledge of accounting principles.

  • Project based accounting experience is a plus.

  • Strong work ethic and eagerness to produce high quality results.

  • Ability to work independently, as well as part of a team and build professional relationships with internal and external clients.

  • Keen attention to detail and strong problem-solving skills.

  • Must be a self-starter and willing to learn and grow within the position.

  • Effective communication (both oral and written), organizational and interpersonal skills.
