The Washington State Department of Corrections, Reentry Division is seeking a highly motivated and qualified individual for the permanent position of Office Assistant 3 (OA3). This position is located in Longview, WA at the Longview Work Release.

Provide clerical support for 2 Community Corrections Officers, Secretary Supervisor, 13 Correctional Officers, and 4 Kitchen Staff.

Tasks include:

  • Perform complex secretarial assignments requiring a substantial knowledge of a variety of regulations, rules, policies, procedures and RCW's.
  • Utilize various computer programs for work assignments to make entries, obtain, create and maintain data of information to include arrivals, releases, terminations and escapes of inmates and to get their paperwork done for deadlines and notifies DOC Records as needed.
  • Maintain and process Inmate Banking System tasks. Make sure checks are received at the Work Release, and available on time, log all checks, daily deposits, using TAS to answer I/M questions, check requests and distribute offenders checks at least weekly, notify banking staff as needed.
  • Complete, submit and update variety of weekly and monthly reports, to include but not limited to local spreadsheets, mileage, credit card, interpreter, out of county release reports, copier counts, volunteer and RPM reports.
  • Determine accurate release and arrival dates of residents and keeps facility staff appraised of this information in order to keep a smooth running facility.
  • Process incoming/outgoing residents in OMNI, complete PREA and housing assignments, CHRONO and update the assigned CCO.
  • Assist in answering a variety of resident E kites (CE Prison) on a daily basis as needed.
  • Provide support to the Secretary Supervisor and caseload carrying staff.
  • Gate money requests.

Coordinate Office and Facility Operation

Tasks include:

  • Order and maintain all office supplies, forms, office equipment and other items as needed.
  • Ensure office equipment is maintained. Call vendor when maintenance is required
  • Prepare vouchers for payment of invoices and bills for supervisor signature.
  • Receive, sort and distribute both state campus mail as well as US mail.
  • Read, understand, and adhere to DOC policies and procedures at all times and distribute as necessary.
  • Act as the Volunteer Coordinator.

Coordinate Office and Facility Operation

Tasks include:

  • Maintain pictures of new residents for files.
  • Enter information into DOC electronic databases such as OMNI/OnBase/OBTS.
  • Perform file management tasks including file set up, file documents, purging files, transferring files, screening, closing files (file retention) and public disclosure as needed. Qualifications

Required:

  • Ability to multi-task and prioritize work with minimal supervision.
  • Ability to use electronic equipment to maintain communication with partners and stakeholders, both internally and externally.
  • Ability to maintain accurate records.
  • Ability to clearly communicate ideas and issues when needed.
  • Must possess basic accounting/math skills in order to accurately maintain inmate banking records.
  • Must possess effective communication skills, both written and verbal. Desired/Preferred:

  • Working knowledge of criminal justice and corrections systems.

  • Working knowledge, and use of spreadsheet software, such as Microsoft Excel to create, modify, print and format spreadsheets. Ability to find and replace data and work with basic formulas and functions.
  • Ability to navigate the internet for DOC and offender related information.
  • Ability to proofread written material, identify and correct errors in structure, grammar, punctuation and spelling.
  • Willing and able to report policy violations, and or any acts that may compromise the integrity of the work unit, to supervisor immediately. Supplemental Information
