Description DSHS DDA Office Manager If you have a strong office administrative background and can hit the ground running when joining our team, this is an excellent opportunity for you. The Developmental Disabilities Administration (DDA), within the Department of Social and Health Services, is seeking an Office Manager to join their team in Kennewick WA. You'll work closely with administration, supervising and managing regional customer service staff in 9 different offices throughout South-Eastern Washington. You'll assure that quality customer service is provided to consumers and others who interact with DDA while assisting with the day-to-day operations of managing a busy office. Some of what you will do: * Supervise, develop and conduct training, monitor workflow, modify work processes to maximize efficiency, schedule work shifts, be available and responsive to staff and management * Perform administrative functions, assigning, reviewing, and evaluating the work of others. * Ensure accountability for the proper receipt, storage, distribution, inventory, and documentation of work products * Assist and advise staff and both internal and external customers, employees, vendors, community partners, the general public, resolving complex complaints, inquiries, and customer service problems * Participate in the projects that impact the work or area, write and develop departmental procedures service operations as necessary * Make a recommendation or provide instruction and ongoing coaching, mentoring, and guidance in all customer service with a professional and friendly etiquette * Serve as a Records Management Officer and have substantive knowledge of a variety of regulations, rules, procedures, processes, records management, public disclosure, retention, and disposition * Communicate with diverse internal and external customers, staff, including listening, identifying problems/issues, providing options, fulfilling services, and exercising knowledge of laws, rules, and policies * Ensure office security system, maintain the system for building access for all Kennewick DDA office staff and vendors * Manage the Kennewick DDA office, working with landlord, regional operations manager, and staff What we are looking for: * Ability to lead by example and maintain a respectful environment * Experience working with individuals exhibiting challenging behavior * Excellent communication skills and strong work ethics and demonstrate sensitivity to cultural diversity * Ability multi-task and manage interruptions, prioritize work assignments to meet timelines and/or other priorities * A highly organized, energetic, and reliable professional with office administration and/or management experience If this is your area of expertise and interest, we encourage you to apply! Professionals with a bachelor's degree involving major study in business administration or closely allied field and one year of supervisory experience involving responsibility for planning, organizing, and coordinating work in a business office. OR One year of experience as an Administrative Assistant 2, Human Resource Assistant 2 or Data Compiler or two years in State service as an Administrative Assistant 1, Human Resource Assistant 1 and equivalent involving supervisory or office management responsibility. Additional qualifying experience will substitute, year for year, for education.
