Visit us at: www.OdysseyLogistics.com/careers About the Job: The Administrative Assistant is responsible for ensuring the smooth and compliant operation of activities between the IML business units. This role requires a detail-oriented and organized professional who can handle a variety of administrative tasks, support team members, liaison with management, administrative, financial, safety/security, sales & marketing to contribute to the overall efficiency of the logistics and transportation processes. Work Schedule: Monday through Friday Shift hours 8:00am - 5:00pm In This Role, You Will: Legal: ensure the legal department is provided with all Division and Business Unit compliance documents and contracts in accordance with best practices. Documentation and Record-Keeping: Prepare, review, and maintain accurate records, including hazmat certifications and current training materials, hazmat and SCAC renewals, security trainings, company directories. Ensure all documentation is compliant with company policies and regulatory requirements and posted in appropriate repositories. Scheduling and Coordination: Assist in scheduling meetings, transportation, sites and food planning for management's meeting and events. Sales & Marketing: Liaison with marketing and sales teams to ensure marketing materials are current and readily available for use, and website accurately reflects all business units within IML. Compliance: Ensure all logistics activities comply with company policies, industry regulations, and security standards. Assist in preparing for audits and inspections. Staff Onboarding: assist local managers with onboarding new hires by coordinating with necessary departments for required documentation and completion of training requirements including but not limited to HR, safety and security. Special Projects: Participate in or lead special projects as assigned, such as process improvements, system implementations, or cost-saving initiatives that support efficient service delivery and meet the organization's changing needs. Coordinate tasks, resources, stakeholders, and any other project elements, in addition to managing conflicts between different aspects of a project, making trade-offs between competing requests, and evaluating resources.
