The Administration Assistant is responsible for coordinating day to day administrative activities in a specific region or function. This position is an Individual Contributor role. The role directly reports to the Sr Manager Business Development and routinely interacts with the Project Managers, and administrative personnel in other regional CBI Services, LLC offices and the corporate office in Houston.

Key Tasks and Responsibilities:

  • Primary responsibility is to manage and maintain the Customer Resource Management System (CRM) for all of CBI Services, LLC. This involves weekly reports, forecast updates, customer visit entries, data integrity checks, system queries, updating the system by interfacing with business development personnel.

  • Types and proofreads documents, correspondence, and forms. Such as customer proposals, prequalification documents, permit applications, etc.

  • Responsible for supporting administration functions and coordination of multiple disciplines including human resources, finance, operations, HSE, QAQC, and business development.

  • Sets up and maintains manual and electronic filing systems. Ability to use electronic document control system(s).

  • Maintains office supplies and other materials required for office or jobsites.

  • Answers the telephone, takes, and relays messages and information to appropriate personnel.

  • Coordinates and assists team members with travel arrangements for business purposes and assist with expense report preparation as requested.

  • Interface with customers, suppliers, subcontractors, and internal jobsite personnel.

  • Performs additional assignments, including operations, HSE, QAQC support as needed to execute our construction work.

Essential Qualifications and Education:

  • High school diploma, or GED equivalent, plus a minimum of 3-5 years of related experience is required

  • Computer proficiency and intermediate knowledge of Microsoft Office (specifically MS Excel, Word and Outlook). Ability to use a custom Customer Resource Management (CRM) system – similar to Salesforce.

  • Advance skill in operating personal computers, printers, and phone systems. Trouble shoot issues with corporate help desk or outside resources as needed

  • Subject Matter Expert in administrative knowledge of business procedures, software, company processes and procedures

  • Strong interpersonal skills and ability to interface comfortably with all levels of internal management and staff as well as clients
