Federal Aviation Administration Administrative Mail Clerk in Des Moines, Washington

Summary This position serves as an Administrative Mail Clerk for the Office of Policy, International Affairs & Environment (APL), Office of National Engagement and Regional Administration (ARA) in the Northwest Mountain Regional Office. This position reports directly to the Executive Operations Manager. Responsibilities Performs routine, multiple, and varying tasks under the limited direction of a manager, project/program manager, team leader, or more experienced employee. Receives, inspects and x-rays incoming deliveries (for suspicious items) from USPS, Federal Express, UPS or other local delivery companies. Sorts general deliveries by addressee, general subject and or content, into office mailboxes located in the mailroom. Maintains tracking and delivery of accountable deliveries in package tracking system. Notifies the appropriate organization when deliveries are ready to be collected, obtaining signature of recipient upon final delivery of accountable items, in package tracking system. Applies experience and detailed knowledge to plan and accomplish assigned tasks/assignments for projects, programs, and other work activities. Has a sound understanding of how clerical tasks contribute to organizational activities. Receives and sorts outgoing mail from FAA organizations, routing internal mail and preparing outgoing mail, including metering postal mail, preparing any customs declarations for foreign mail, creating shipping labels, as required for pick up, in accordance with established schedule. Position requires performance of duties involving in-depth knowledge of postal regulations and procedures. Some materials are sensitive in nature (personnel and security matters) and require special handling. Although specific guidelines exist, the incumbent must exercise judgment in selecting the most appropriate ones in determining their application in routing of mail to organizations with similar functions. Where the guidelines do not cover the current situation, the incumbent is expected to adapt or improvise procedures. Work consists of varied, and often unrelated, administrative and clerical tasks that require application of a large variety of clerical and administrative guidelines. Incumbent uses several types of automation software, including database management software, electronic spreadsheets, electronic mail, etc., to facilitate the performance of clerical and administrative work. Assists property custodians or delegates in the maintenance, controlling, and coordinating of personal property inventory of all automated and non-automated equipment assigned to the mailroom. This may include physically moving disposal items from various locations to the warehouses. Set up conference space. Receive requests, schedule and assist in set up of conference space for regional office LOB customers. Provide common facility services support by responding to customer concerns concerning use of conference space. Lead role in planning, designing and constructing minor office space reconfigurations, including changes to existing office furniture layouts and new builds. Works with a minimum of supervision and ensures appropriate safety standards are met. Responsible for maintaining the warehouse, ensuring that supplies and equipment are appropriately stored and tracked. Resolves most problems and work issues without the assistance of a manager or more experienced employee. Informs managers and other employees about problems/issues that require their attention and may assist in developing and recommending solutions. Provides guidance to lower level support staff employees for handling routine problems and issues. Requirements Conditions of Employment We are not accepting applications from noncitizens. Qualifications To qualify for this position at the FV-E Band (FG/GS-7-8), you must demonstrate in your application that you possess at least one year of specialized experience equivalent to the FV-D FG/GS-5-6 level. Specialized experience is experience that has equipped you with the particular knowledge, skills, and abilities to perform successfully the duties of the position. Specialized experience is: Receiving, inspecting, and sorting packages/mail; maintaining and tracking packages; writing and typing non-technical routine correspondence; maintaining files; general office support; entering information into systems and responding to telephone calls.
