Position Summary:

Full-time position available for a Clinic Coordinator in our Deming Medical Clinic, based at Mt. Baker High School. This position will also work at the Options High School in Bellingham. The Clinic Coordinator, under the direction of the Health Center Administrator, is responsible for the day-to-day functions and operations of the school-based health center. They will work in building and maintaining close relationships with the school, community, students and parents through direct contact and outreach efforts. They will be responsible to having a working knowledge of community resources to be able to direct students. The Clinic Coordinator will be responsible for completing administrative tasks such as accurate data gathering for reporting, medical and behavioral health visit check-ins, and data inputting into state and local registries. In addition, the Clinic Coordinator will maintain clinic logs and perform audits as well as quality checks on supplies and equipment as required to maintain Joint Commission Accreditation.

Essential Duties and Responsibilities

  • Provide information on clinic services to students, families and school staff.

  • Maintains a high degree of confidentiality and professionalism.

  • Checks in all patients and answers phones following standards.

  • Develops and maintains collaborative working relationships with Sea Mar employees, students, school staff and the community.

  • Assists in the preparation and implementation of departmental policies and procedures.

  • Works closely with Health Center Administer on problems and issues related to patient flow and operations.

  • Screens and refers students to a Customer Service Representative to determine eligibility of insurance.

  • Act as primary Vaccine for Children Coordinator, maintaining and reconciling vaccine inventory in clinic, electronic medical records, and in state vaccination registry. Monitor, record, and submit vaccine refrigerator and freezer temperatures to Department of Health. Record, escalate, and resolve vaccine temperature excursions and incidents. Facilitate regular Department of Health inspections.

  • Perform waived testing on lab equipment following manufacturer instructions and lab policies.

  • Responds to patient complaints and concerns in coordination with HCA when necessary.

  • Assists with implementing and conducting audits relative to quality improvement activities.

  • Schedule patients for initial and follow-up appointments and recalls patients as needed to ensure coordination of care.  

  • Monitor the schedules to ensure accuracy and that productivity goals are met.

  • Facilitate staff daily huddles and represent the clinic during school events and meetings.

  • Participate in any required King County Public Health trainings and meetings.

  • Prepare and submit any daily, weekly, monthly and quarterly reports due to internal parties at Sea Mar and external parties at King County Public Health.

  • Assist the HCA in clinic data collection, health outcomes reporting and patient care reports.

  • Opens and closes the clinic on a daily basis and ensures coverage during all business hours.

  • Assists in the development and implementation of outreach activities and marketing materials to enhance and improve customer service.

  • Monitor and order medical, lab and office supplies.

  • Act as the clinic’s primary Safety Officer.

  • Perform Joint Commission audits and required tasks to maintain quality standards.

Qualifications:

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • The person in this position must be of good character and able to maintain the understanding, physical health, emotional stability and personality suited to meet the physical, mental, emotional, and social needs of the population served.

  • Ability to effectively communicate with patients and staff both verbally and in writing. Must demonstrate proficient public speaking skills. Exercises sound spelling, grammar and clear written communication.

  • Must have excellent customer service skills and experience working with culturally and economically diverse communities.

  • Computer proficiency required (Microsoft Office).

  • Must be able to effectively utilize data processing and spreadsheet computer programs.

  • High level attention to detail required.

  • Must be able to respond quickly, efficiently and accurately to inquiries and requests.

  • Must strictly adhere to HIPAA compliance and other Sea Mar policies.

  • Must demonstrate problem-solving skills.

  • High School diploma or GED equivalent.

Desired

  • Bilingual English and Spanish speaker highly preferred.

  • Must have completed basic courses in office management and be knowledgeable of the duties and responsibilities of the front desk staff.

  • Computer skills, verbal and written skills, and confidentiality.

  • Demonstrated leadership skills of at least two years with increasing responsibilities over time.

  • Previous supervisory experience preferred.

Additional Requirements

  • Pre-hire and annual employee health screening required.

  • Annual influenza vaccine required. Only exception is for employees with a medical or religious exemption approved by Administration. Employees with an approved medical or religious exemption must wear a mask at all times during the flu season.

  • Fully vaccinated for COVID-19 required. Only exception is for employees with a medical or religious exemption approved by Administration. Employees with an approved medical or religious exemption must wear a mask at all times and are subject to weekly COVID-19 testing.
