Making a professional and courteous impression is imperative. To be successful in this position, a person must perform the job duties listed below while maintaining a positive, solution-oriented working relationship with coworkers, vendors, and customers. ESSENTIAL DUTIES AND RESPONSIBILITIES These duties are those typically performed in this position. Employee may not perform all the listed duties and/or may be required to perform additional or different duties. Greet and direct visitors to the appropriate person or office Answer, screen and forward incoming phone calls Manage company calendar; record vacations, absences, conference room scheduling, vehicle scheduling, and other events Support the Project Managers, HR, Accounting, Contracts and Principals by assisting with various tasks Collect and reconcile weekly timecards; distribute to appropriate managers for approval Develop bid and spec books; make operation and maintenance manuals Record equipment usage and code to appropriate project Place orders for projects (i.e. travel arrangements, porta potties, internet service, etc.) Update phone lists and office nameplates as necessary Create and publish the monthly company newsletter using Marq online software; gather newsletter content from appropriate personnel Coordinate with vendors to ensure regular maintenance of office equipment Arrange, coordinate, and support special events (i.e. lunches, meetings, etc.) Prepare mailings (USPS, UPS, FedEx); receive incoming packages and distribute to appropriate person; ensure outgoing mail is picked up by carrier Maintain tidiness of front lobby and breakroom; load/unload dishwasher, stock supplies, empty recycling Check inventory and order office and breakroom supplies when low Work within and promote corporate vision, mission, and values of the organization Performs other duties as assigned REQUIRED EXPERIENCE, SKILLS AND EDUCATION The following generally describes the knowledge and ability required to enter the job and/or learned within a short period of time to successfully perform the assigned duties.
