Whidbey General Hospital Director Patient Access in Coupeville, Washington

JOB SUMMARY

The Director Patient Access develops and executes the strategic vision for Patient Access Services (“PAS”) and functions across all WhidbeyHealth entities. Provides leadership and oversight of key operational and financial decisions pertaining to the management of the effective and efficient Admitting function, Emergency Department/Clinic Registration and Information Desk with sensitivity to the stress of patients and / or families . Coordinates with the Director of Revenue Cycle and/or CFO to develop yearly metrics and is responsible for managing people and processes to achieve or exceed WhidbeyHealth’s revenue cycle goals and performance metrics expectations.

The Director Patient Access is responsible for timely budget submission and ongoing management of budget expectations. Also responsible for measurement and reporting of ongoing financial and operational performance. The PAS Director will ensure the implementation of action plans where performance is not meeting expectations as well as recognize areas of excellence.

PRINCIPLE FUNCTIONS includes the following, other duties may be assigned:

  • Supervises the Emergency Department/Clinic Registration office, Direct Access, Patient Estimate Services, Insurance Verification, Clinic Registration and Pre-Op Registration in such activities as:

  • conducting admissions during night shift (11 pm - 7 am);

  • preparing Admitting forms, Emergency Department/Clinic forms, Insurance forms.

  • obtaining deposits or payments.

  • handling valuables and notifying necessary authorities such as family, clergy, courts or police regarding emergency admissions.

  • Assists with providing written procedures for the implementation of all Registration, Direct Access, Patient Estimate Services, Insurance Verification, Clinic Registration, Pre-Op Registration, interpreting and incorporating Hospital and Financial Policies

  • Trains new employees and arranges on-the-job training for the Admitting , Emergency Clinic Registration, Direct Access, Patient Estimate Services, Insurance Verification, Clinic Registration, and Pre-Op Registration .

  • Responsible for hiring, coaching, and otherwise developing direct reports and creating or ensuring creation of a structure for employee onboarding and ongoing development. Grow/Mentor supervisors and ensure staff engagement and commitment to strategy, mission and goals.

  • Continuously focused on meeting metrics and proactively identifying areas of opportunity by working collaboratively, professionally and fostering positive relationships with both internal and external peers.

  • Demonstrates a commitment to exceptional customer satisfaction to all parties. Appropriately assesses who our customers are and conducts self in a polite, forthright manner, articulately communicating with others and using discretion, judgment, common sense and timeliness in customer service decision -making.

  • Create, monitor and perform within established budgets.

  • Brings innovative thought and strategic vision into developing new and efficient ways to create the ideal patient experience, while ensuring data quality and optimal revenue recovery

  • Identify potential process improvements through Patient Access Services and lead the design and implementation as required.

  • Build strong relationships and facilitate productive communication between key revenue cycle stakeholders, including peer leaders of Revenue Cycle Management, Patient Financial Services, HIM and core support departments (e.g., Human Resources, IT, Finance, Managed Care, etc.)

    JOB KNOWLEDGE & QUALIFICATIONS

    Education

    Bachelor’s degree in business administration, Healthcare Management or related discipline preferred or the equivalent combination of education and experience.

    Training and Experience

  • Minimum of (5) five years of relevant experience in Admitting and Management with a track record of progressive increased responsibilities.

  • Strong technical grounding, project management and implementation experience required. Proven leadership abilities and comprehensive knowledge of healthcare information systems.

  • Strong working knowledge of regulatory requirements and payer requirements, general revenue cycle management strategies, and industry best practices

  • Thorough knowledge of metrics, analytics, and data synthesis in healthcare patient access services and revenue cycle management to identify trends, produce reliable forecasts and projections.

  • Strong analytical and critical thinking, organizational, and business process optimization skills, with an in- depth ability to develop and pursue goals, synthesize data to identify system vulnerabilities and develop and apply innovative solutions .

  • Excellent communication and organizational skills are required, with the ability to effectively communicate to physicians, patients, staff, payers and administration. Above average understanding of how, when, and to what extent different hospital departments relate to and communicate with one another.

    Salary Range: $125,000 - $165,000
