About the Position

The Fairhaven Program Coordinator supports day-to-day operations for Fairhaven College and acts as the college events coordinator. This position is often the major point of contact for our passionate and diverse student and faculty group. We are seeking an independent, efficient, and motivated worker to join a dynamic and supportive staff team. This position works with data entry, purchasing, oversight of student workers and event planning. This position reports to the Operations Manager with the primary purpose to coordinate and facilitate the administration and continuous operation of the College.

This part-time temporary position is needed from January, 6th 2025 to June, 16th 2025

Job Duties

Fairhaven Office Manager: Acts as  main office reception and makes independent decisions to trouble-shoot episodic and on-going problems of main office functioning; making sure the office is opened and closed at the appropriate times, covers front desk, distributes mail, provides advice and guidance to students entering office, makes student referrals to faculty advisors and staff, and inputs data.

Student Employee Oversight: On-site supervisor and scheduler for front office student employees in collaboration with staff. 

Budgetary Duties: College purchaser for programmatic supplies. Is the purchasing liaison for Fairhaven programs and faculty.  

Event Planning: Helps to plan and coordinate World Issues Forum, Scholars Day, Advising days, and Graduation in conjunction with faculty and student employees. This includes purchases, speaker contracts, room reservations, catering, parking and communication with attendees. This duty sometimes requires evening or weekend work.  

Social Media Marketing and Outreach: posts announcement to our student canvas page, creates promotional material for college events, and oversees a student employee who adds content to social media platforms

Records Management: Collects and disseminates office hours and helps faculty upload Syllabi

Takes Meeting minutes for all-college meetings and retreats

Other duties as assigned. 

Required Qualifications

  • Bachelor of Arts or Science AND at least two years of coordinating a specific program / project and high-quality customer service experience OR equivalent education/experience.

  • Demonstrated commitment to support a workplace culture in which diversity is honored, respected and celebrated.

  • Proven ability to be an effective time manager, comfortable in a work environment with frequent interruptions while being detailed oriented in high volume, fast-paced, public environment.

  • Demonstrated ability to work with a high degree of independence to initiate creative solutions and troubleshoot difficult situations.

  • Demonstrated ability to be an effective team member.

  • Excellent written, proofreading, editing and oral communication skills.

  • Experience using Microsoft Office Suite (Excel, Teams, Word, Outlook etc..)

  • Experience working with information systems (Banner, Access, etc..) and software programs.

  • Demonstrated ability to successfully manage events independently

Preferred Qualifications

  • Knowledge of Fairhaven College of Interdisciplinary Studies

  • Experience working in an academic or educational setting.

  • Proficiency with Banner, SSC, Millennium FAST, Adobe or other higher education software.

  • Experience leading a small team and with project management.

  • Social Media Skills in Facebook, TikTok or Instagram.

  • Advanced spreadsheet/database skills or Website maintenance skills.

Salary $20.38 - $27.15/hour depending on qualifications and experience

Bargaining Unit TemporaryThis position is covered by a Washington Federation of State Employees bargaining union. New employees are eligible for membership under the current collective bargaining agreement at 350 hours of employment.
