Description and Qualifications

The Facilities & Fleet Program Manager works closely with department and organizational leaders to ensure facilities and fleet vehicles are managed and maintained to support current and future operational needs. Works closely with the VP, Finance and Accounting to manage all functions related to Facilities including building lease negotiations, remodeling planning and management, cleaning and maintenance, space planning, and purchase of furniture, fixtures, and equipment. Is also responsible for the preventative maintenance and repairs needed for company vehicles to maximize equipment life and minimize downtime.

ESSENTIAL JOB FUNCTIONS

Facilities Management

  • Ensure that all LifeCenter owned and leased facilities are fully operational with all utilities functioning properly.

  • Schedule and supervise maintenance repair work and assist with checking installation and servicing building equipment.

  • Ensure compliance with state and federal regulations, and assist with energy management

  • Oversee security of buildings and grounds

  • Maintain ongoing communication with contractors, building management, and LifeCenter team.

  • Analyze internal processes and recommend and implement procedural or policy changes to improve operations, such as supply changes or the disposal of records.

  • Reviews and approves facility service quotes.

  • Coordinates and leads the organization’s facilities management, including management of preventative maintenance, day-to-day requests for maintenance and other needs, and coordination of applicable facilities committee(s).

  • Supervises project planning and coordination of work for contractors and ensures minimum disruption to core activities. Follows up on any deficiencies.

  • Supports office leads in regional office locations with communication and resolution of issues with property management, janitorial and other vendors related to facilities management of regional office locations.

  • Leads regular Facilities Team meetings; travels to regional offices periodically to ensure proper maintenance.

  • Manages maintenance and services for the LifeCenter corporate apartments, including cleaning and supplies as needed.

  • Arranges for competitive quotes for various maintenance services to achieve maximum value.

  • Works with Safety Officer to ensure that offices meet health and safety requirements.

  • Responds promptly and appropriately to emergencies and urgent issues as they arise.

    Vehicle Management

  • Assist in creating and maintaining ongoing reports regarding vehicle use and non-compliance with company vehicle policies, speed limits and motor vehicle violations

  • Plan vehicle assignments to meet transportation and operations goals

  • Schedule and coordinate fleet maintenance and repairs.

  • Inspect vehicles to ensure that they are safe, free of defects, and consistent with specifications and clean.

  • Set up and track maintenance schedule; take vehicles for routine maintenance and repairs; keep current and accurate records of such service; coordinate maintenance for vehicles outside Western Washington with local staff.

  • Assist in determining fleet requirements and facilitate replacement or procurement of vehicles as necessary.

  • Develop and maintain key management system for fleet vehicles.

  • Ensure renewal of tabs and registration for company vehicles.

  • Assist People Resources and VP, Finance and Accounting with analysis of employee driving infractions to ensure compliance with safety policies and any applicable insurance policies

    Corporate Insurance

  • Assist in preparing annual property and liability insurance renewal information.

  • Make sure that vehicles have up to date insurance and proof is available in each vehicle upon renewal.

  • Maintain recurring certificate of insurance listing and resolve certificate of insurance request discrepancies between request and contractual requirements.

  • Manage the process for auto incidents and accidents, including working with the insurance company to ensure that repairs are completed overseeing claims for rental vehicles.

    Other Responsibilities

  • Participates in, and may lead, employee committees and events.

  • Performs other related duties as required by the needs of the company and the leadership team.

  • Complies with applicable laws, regulations, and LifeCenter policies and procedures.

  • This position has no formal supervisory responsibility.

    PHYSICAL ACTIVITIES/REQUIREMENTS

  • Travel by automobile is essential to this position; however, occasional travel by airplane may be required.

  • This position requires the ability to effectively operate phones, computers, and other office equipment.

  • The individual must have the ability to speak clearly using the English language to accurately convey information and be able to hear at normal speaking levels both in person and over the phone.

  • Specific vision abilities required by this position include close vision, depth perception, and the ability to adjust focus.

  • Generally, working conditions do not require exposure to hazardous materials nor extremes in health and safety hazards. Work is normally performed in an office setting.

    ANTICIPATED WEEKLY TIME COMMITMENT

    This position may need to work outside of regular business hours, including evenings and weekends, sometimes without advanced notice.

    EDUCATION, EXPERIENCE & JOB REQUIREMENTS

  • Bachelor’s Degree in Facilities Management, Engineering or related field preferred.

  • 5 years of experience in a facilities, fleet or similar role required.

  • Project or Construction Management experience preferred.

  • Proof of COVID-19 vaccination or applicable medical or religious exemption will be required as a condition of employment upon offer.
