Workplace Service Coordinator

Duration: 06/11/2024 to 09/06/2024

Location: 929 108th Ave NE, Suite 1800, Bellevue, WA 98004

Hours: 8am-5pm PST, 1 hour lunch break.

Team: Real Estate and Workplace Services team.

Day to day: Assist with facilities management for the Bellevue office. Walk the 4 floors, look for facility deficiencies, things that are out of place, things that need to be repaired. Coordinate with vendors and/or property management engineering team to make the necessary repairs. Also help the events and hospitality team as needed - set up tables, move coat racks around, other standard office services. Working in a facility that sees 150-200 people/day.

Must have skills: Customer service, learning attitude, understanding of facilities concepts. Vendor coordination. Facilities coordination.

Teachable skills: Salesforce Ticketing system, Building Management Ticketing system

Key duties include:

• Routine maintenance and upkeep.

• Inspections for compliance with health, safety, and space regulations.

• Quick resolution of facility-related issues.

• Vendor and building management relations for efficient service.

• Training across the campus for backup during the Facility Supervisor's parental leave.

• Facility Related event support

• Welcome Desk back-up and relief

• Other duties as assigned.

• Associates or Bachelor's degree required

Job Description: In this role, the Workplace Services Facilities Coordinator will work directly with the Workplace Services Supervisor to maintain and improve the day to day office services, facility operations, and by supporting the execution of tenant improvement projects. This individual will partner with and form a cooperative relationship and interface between building management, engineering, and/or those responsible for maintenance and operation of the facility (Building Engineering: including security contractors, janitorial services, and other various aspects of facility operations). Additionally, the Workplace Services Facilities Coordinator is a local representative of the Real Estate and Workplace Services team and will be assisting with supporting the management of the front desk operations, office administration, and event support. This position requires a high level of customer service.

Responsibilities

• Assist with regular maintenance and general upkeep throughout facility to ensure a clean and safe working environment

• Follow best practice and safety standards for all facilities related tasks. Including active participation in the Emergency Response Team (ERT)

• Handle all incoming requests via the Ticketing Portal by responding to clients and resolving the issues, ensuring successful completion.

• Identify health and safety hazards, maintenance and repair issues and take appropriate action to remedy findings with prompt notification to management.

• Maintain a positive relationship with all the members of the REWS department and on-site customers while promoting a positive team environment.

• Build strong relationships with vendors and building management; maintain best in class service whether issues are resolved in-house or by one of our partners.

• Performs weekly facility inspections, and update repair and maintenance task lists.

• Handle all guest and employee interactions with the highest level of hospitality and professionalism, ensuring we are always managing expectations.

• Back up the front desk when needed, including greeting and assisting visitors, assigning badges, and handling daily mail and package receiving.

• Assist Space Planning team with audits ensuring site accuracy

• May serve as a Facilities site representative during interactions with cross functional groups, as required.

• Be able to work independently with minimal supervision.

• When needed, support conference room & event table set ups and configurations to meet the needs of internal/external trainings and meetings

Required skills

• BS/BA degree or equivalent of education, training, and experience in facilities planning.

• 3+ years experience in a Facilities or Office Services role, ideally supporting a high growth, 75,000 square foot + facility.

• Customer service experience preferred

• Attention to detail with a proactive and resourceful approach to problem-solving.

• Competent in G-Mail and G-Cal.

• Understanding of Excel, and basic budget management - receiving invoices and entering them into an Excel tracker, verifying that the purchase orders and budget match. Will not be required to do any forecasting or budget planning.

• Basic knowledge of critical utility systems, HVAC and emergency power systems - no technical/mechanical skills required, will just be required to report and coordinator with repair teams if something isn't working properly
