Executive Assistant and Communications Specialist

Smartsheet is looking for an Executive Assistant/Communications Specialist to support the Chief Marketing Officer and marketing team. The ideal candidate will be proactive, flexible, resourceful and efficient while maintaining the highest level of confidentiality, integrity, and professionalism. You will serve as a strategic partner to the CMO as well contribute to the communications function of the team.

You will report to the Chief Marketing Officer and will be based at our headquarters in Bellevue, WA.

You Will:

  • Develop a deep understanding of critical components of the business and key partnerships to provide strategic support to the CMO, Marketing leadership team and the Communications team.

  • Manage communications, email, and calendaring for the CMO.

  • Arrange travel plans and itineraries and manage expense reports for the CMO.

  • Plan and coordinate various meetings & events, both internal and external.

  • Work closely with the comms team (AR, PR, Employee) on marketing and communication initiatives.

  • Liaison with company leaders outside of marketing, customers, partners and other teams on behalf of the CMO and Communications team.

  • Support key project administration through pre-built Smartsheet tools.

  • Build and maintain excellent relationships with team members and with other assistants, including supporting other executive assistants and office team members to maintain continuity and best practices.

  • Help create PR plans and strategies as well as prepare presentations for meetings.

  • Edit and proofread press releases and presentations.

  • Other duties as assigned.

You Have:

  • BS/BA degree or equivalent experience.

  • Have majored or closely studied media, communications, and journalism and have previous internship experience.

  • IT literate with comfort using Smartsheet, Gmail, Google Calendar, Google for Work and Microsoft Office.

  • Excellent writing and editing skills.

  • Positive, can do attitude, exceptional organization, communication skills, attention to detail, and follow through.

  • Brings a creative approach to work with a willingness to innovate and continuously improve.

  • Ability to manage highly sensitive or confidential situations and information with professionalism.

  • Ability to work independently, manage shifting priorities, demonstrate good personal judgment, and effectively handle tasks under pressure.

  • The ability to work with individuals inside and outside Smartsheet in a way consistent with our values and commitment to service.
