West Sound Workforce is assisting a prestigious real estate development firm in sourcing an organized and capable Administrative Assistant/Office Manager to join their busy Bainbridge Island office. This firm is a leader in value-add real estate investment, known for its nationwide reach and in-house expertise in acquisitions, asset management, and investor partnerships. Working exclusively with accredited and institutional investors, they take a personalized approach to meeting client needs while maintaining a strong commitment to community responsibility. In this multifaceted role, the Administrative Assistant/Office Manager will serve as the backbone of the office, providing executive support to the Partners and Marketing department while handling administrative tasks for the entire team. Responsibilities include managing office coordination, overseeing correspondence, proofing and editing communications, and maintaining well-organized physical and electronic filing systems. This position calls for a highly organized professional who thrives in a dynamic environment and excels at keeping operations running smoothly. Shift information:
- Monday-Friday
- Flexible, 30 - 40 hours/week
What you will do as Administrative Assistant/Office Manager:
- Provide clerical and administrative support, including maintaining office calendars and managing correspondence across mail and email profiles
- Maintain accurate CRM records for contacts and accounts, ensuring seamless communication with current and prospective investors
- Format, proofread, and distribute investor communications, including monthly updates, reports, and mail merge updates
- Oversee document management, including organizing electronic and physical files, monitoring DocuSign envelopes, and facilitating investor forms
- Manage office operations, including supply purchasing, coordinating with vendors, and ensuring office systems function smoothly
What we are looking for:
- Bachelor's degree preferred, with at least 1-2 years of administrative experience; professional service-oriented experience is a plus but not required
- Proficiency in Microsoft Office (Word, Excel, Outlook) and strong internet research skills
- Excellent oral and written communication skills, with the ability to work effectively in a team environment
- Demonstrated self-management, problem-solving abilities, and attention to detail
- Adaptable and dependable, capable of thriving in a fast-paced, deadline-driven environment
