Muckleshoot Indian Tribe Behavioral Health Front Desk Supervisor ($64,950 - $103,923 Annually DOE) in Auburn, Washington

JOB SUMMARY

Oversees an administrative team including front desk and records specialist staff. Provides supervision to staff and evaluates their performance. Oversees data entry for generating billing reports to State and County systems. Develops tracking systems for various items such as staff trainings, budgets, credential searches, provider exclusion lists, vendor and contractor invoices etc. Ensures the program adheres to all applicable Tribal, Federal, State, and County regulations pertaining to records management and billing.

MAJOR TASKS AND RESPONSIBILITIES

Attendance:

  • To be in attendance and on time.

  • To demonstrate reliable and consistent attendance.

  • To attend team meetings, supervision, and other program meetings.

Major Duties and Management Skills:

  • Manages and directs staffing and scheduling for the front desk staff.

  • Offers training and development to each direct report to benefit the organization and the individual, focusing on safety and service -oriented staff.

  • Develops policies and procedures for all aspects of customer service and safety that meet departmental and legal standards and ensures high quality customer service, friendliness and accountability from the front desk staff.

  • Hires qualified personnel as needed.

  • Develops and implements procedures to optimize information management and other equipment related to front desk operations.

  • Trains staff in the client screening processes. Develops procedures to improve the client screening process.

  • Oversees target data entry for chemical dependencyservices and generates quarterly reports for mental health billing purposes.

  • Attends relevant King County meetings related to chemical dependency provider services. Reports back from these meetings to the management team.

  • Supervises the front desk staff making sure they follow mental health and chemical dependency guidelines. Oversees HIPAA compliance of direct reports.

  • Completes staff evaluations, submits accurate time sheets and approves leave per policy. Follows all personnel policies regarding the hiring and terminating of staff.

  • Attends facility staff meetings as required, serves on assigned committees and prepares reports as requested.

  • Develops tracking systems for various items such as staff trainings, budgets, credential searches, and federal provider exclusion lists etc. Generates and presents reports from these tracking systems.

  • Enters information and invoices into the Tribal financial system to process for payment to various vendors and contractors.

  • Performs administrative duties for the BH Director and BH Supervisors. Responds in a timely manner to assignments and communicates with the Behavioral Health Director when timelines cannot be met.

  • Ensures all front desk and common areas meet health, safety and cleanliness guidelines. Report violations of these guidelines to Behavioral Health Director.

  • Handles and resolves all client issues or concerns relating to front desk operations and customer service.

Safety:

  • Adheres to safety policies and procedures within the health program.

  • Participates in filing incident reports when appropriate and forwards them to the supervisor in a timely manner.

  • Responds to emergencies calmly and professionally.

Communication:

  • Represents the MIT Behavioral Health Program in a positive and professional manner when interacting with clients and the community.

  • Demonstrates positive interpersonal relations in dealing with clients, staff, and supervisors.

  • Proficient in written communication, record keeping, memos, and correspondence.

  • Maintains strict confidentiality when dealing with sensitive client or personnel issues.

  • Excellent computer, time management and organizational skills.

  • Consistently maintains confidentiality in regards to all client information and follows HIPAA policies and procedures.

OTHER DUTIES:

Because of the Tribe’s commitment to community service and the well being of its members, each employee may be expected to perform a wide range of office and field duties from time to time. Such duties may or may not be related to regular responsibilities.

EDUCATION - EXPERIENCE AND TRAINING FOR POSITION

  • Associates degree in business, healthcare administration or related field (4 years related experience may be considered in lieu of a degree).

  • Two (2) years supervisory experience in a clerical field and two (2) years experience working with HIPAA regulations, medical health chart oversight, and customer service.

  • Must pass required pre-employment urinalysis test and background check.

PHYSICAL REQUIREMENTS

Frequently required to stand and walk, push/pull up to 30 lbs., grasp, reach, bend, twist, and use fingers; Continuously required to talk, hear and see; Occasionally required to lift and carry up to 30 lbs., climb, crouch and kneel.
