A large construction firm in South Seattle is looking to hire a Project Administrator for a job starting in April in Anchorage, Alaska. This is a 7-month contract role that is 100% onsite from 7 a.m. to 3:30 p.m. The role provides full administrative support to marine construction and/or dredging job/project sites. It requires some travel and the ability to support various projects within the region. The position requires proven administrative and computer skills with a high level of accuracy and attention to detail. The successful candidate will have proven initiative, problem-solving, and multitasking skills and demonstrate the ability to maintain strict confidentiality, professionalism, and discretion at all times.
Responsibilities
Provide administrative and clerical support, including faxing, scanning, processing daily mail, correspondence, filing, word processing, and Excel spreadsheets.
Coordinate project team meetings.
Answer phones, forward calls, record messages, and provide follow-up as needed.
Set up field office, housing, and vendors for remote job sites.
Arrange and coordinate onsite maintenance and repairs performed by outside contractors.
Manage project document control on SharePoint, including various files and logs such as preliminary notices, conditional lien waivers, change orders, permanent materials purchase orders, and correspondences.
Order and manage office supplies and assist with submitting purchase requisitions as requested.
Process project-related accounts payable invoices.
Review field timecards.
Manage and track subcontractor certified payroll.
Assist project personnel in preparation of payment accruals, permanent material purchase orders, change orders, cost reports, and small business reporting.
Conduct new hire onboarding and coordinate training.
Act as an HR liaison between the field and the office, and submit federal contract compliance reports for the company and all subcontractors on the project.
Assist in the preparation of subcontracts and management of subcontractor requirements, including reviewing certificates of insurance and bonds.
Assist with good faith efforts outreach.
Essential Skills
Proven administrative and computer skills with a high level of accuracy.
Strong initiative, problem-solving, and multitasking skills.
Ability to maintain strict confidentiality, professionalism, and discretion.
Proficiency in Microsoft Office, including Excel.
Experience with document control and project coordination.
Familiarity with CMIC, timecards, invoicing, reporting, payroll, LCP tracker, and Aconex.
Additional Skills & Qualifications
- 3-5 years of experience working in a construction environment.
Work Environment
The work environment includes working in a double-wide office in the Port of Alaska, near Anchorage. The restroom is in a separate building. The role involves working with skilled trade workers coming in and off the job site.
Pay and Benefits
The pay range for this position is $30.00 - $34.00/hr.
