Catholic Community Services Operations Coordinator - King County Admin in Seattle, Washington

A successful Operations Coordinator will be a highly organized self-starter. The Operations Coordinator provides administrative and logistical support to the Agency Director and staff team throughout Catholic Community Services/ King County. The successful applicant must be able to work in a fast-paced office with attention to detail, the ability to manage multiple tasks concurrently, and calmly complete delegated tasks. The Operations Coordinator will help create a welcoming environment for individuals working with the Administration Team; this includes great customer service, positive energy, flexibility and strong communication skills.

This is a Full-time position at 37.5 hours per week. This position is eligible for full benefits including generous paid time off. Salary range is $16.3 to $17.55/hour DOE.

Responsibilities:

MAJOR DUTIES AND RESPONSIBLITIES:

  • Information Line E-mail & Phone:

  • Provide referrals, volunteer coordination, donation coordination, shelter and resource redirection.

  • Donations:

  • Coordinate donation inquiries and forward donation information regarding all non-monetary donations to program managers;

  • Organize Zumiez annual donation, CAP Wildlights, zoo and aquarium tickets;

  • Manage the distribution of items received from Fund development & other internal sources.

  • Forward volunteer interest to programs.

  • Supplies:

  • Responsible for ordering, organizing & expense tracking (Office Depot, Costco, and New Roots) & organizing the administration office supply closet.

  • Event Support:

  • Support for a wide variety of staff events.

  • Responsible for picking-up and dropping off supplies.

  • Staff workplace giving campaigns.

  • Representative at services fairs.

  • Tracking RSVPs.

  • CCS Week Support

  • Support this event in coordination with the CCSWW Fund Development Office and the Agency Director.

  • Front Desk Coverage

  • Provide backup front desk coverage as needed.

  • Provide Excellent Service

  • Program staff, visitors and other community members engage with the Operations Assistant. The Operation’s assistant will provide excellent service to these stakeholders with a focus on finding collaborative solutions to any challenges.*Tasks included in the descriptions are meant to provide examples and not intended to be exhaustive.

SECONDARY DUTIES AND RESPONSIBLITIES- AS NEEDED: This position has a counterpart with whom they will work. Cross-training and providing coverage as needed to one another is an integral part of this job.

  • Contracts:

  • Track the contract review process.

  • Maintain correspondence & other related review process records.

  • Ensure supporting information is obtained and prepared for contract review.

  • Prepare contracts for signature.

  • Prepare and proof letters.

  • Meet weekly with the Director of Homeless Services to review.

  • Bus Tickets:

  • Responsible for record keeping.

  • Log collection from program staff.

  • Grant reporting to funder.

  • Responsible for grant application.

General Responsibilities:

  • Maintain accurate record of hours worked and turn in timesheets and mileage reimbursement on schedule.

  • Attend trainings required of employees and staff and supervisory meetings as scheduled.

  • Contribute to the mission of Catholic Community Services.

  • Perform other job-related duties as assigned.

JOB CONDITIONS:This position requires the employee to work in an office environment where there may be interruptions and a moderate amount of noise from telephones and conversations among employees. Extensive use of computers and related office equipment is typical of this position.

Qualifications:

MINIMUM QUALIFICATIONS:

  • Demonstrated ability to manage several diverse tasks at the same time and meet deadlines.

  • Good English composition and proofreading skills.

  • Excellent word processing skills and solid experience working with Windows, particularly Outlook. Excel and Word programs including drafting and formatting professional spreadsheets and documents. Knowledge of Microsoft Visio is a plus. Ability to learn new computer skills as needed.

  • Ability to track a simple budget.

  • Ability to manage confidential information.

  • Ability and willingness to work a flexible schedule as needed.

  • Criminal history background checks are required prior to employment

PREFERRED QUALIFICATIONS:

  • Bachelor's degree.

  • Knowledge of services for homeless individuals, low-income housing projects, and resources for low-income people in Seattle.
