OFFICE SCHEDULER/ASSISTANT
Looking for a friendly, organized and quick-learner who has a good work ethic and computer experience for a busy driving school. Part time days include: Tue, Wed, Thurs, 10-5:30pm (9am June-Sep) with the possibility of filling in on occasional Mon & Fri (if available). Able to work one Sat/mo from 9-1pm, if needed. Must be able to type, spell and have great customer service skills. Able to switch between tasks and concentrate while being interupted. This is a fast-paced environment where you need to be able to trouble-shoot and be efficient yet remain calm. We do not offer health insurance but you can be eligible for an IRA contribution- match. Duties include:
TESTING SERVICING:
- Post test scores
- Prep test paperwork & give to Office Mgr. to review for accuracy
- Post Completion of testing in database, SAW (Secured Access Washington)
- File testing documents appropriately on a daily basis
- Check in testers
- Post payments (cards & cash); collect balances when due
- Enroll new testers in person and on phone
CLASS PREP:
- Prep, photocopy and organize new class binders/paperwork & arrange to distribute to instructors
- Assist Instructors w/issues, no shows, absences, makeups
- Monitor/schedule makeups and communicate with students
- Make Class schedules ahead of time for rack cards
- Get familiar with accepting vouchers, grant applicants/students
- Close new classes and post completions in SAW
a. Pend for missing classes, drives, balances: notify students/parents as soon as you process
CUSTOMER SERVICE:
- Assist phone & walk in customers with enrollment in services (classes, testing, private drives) answering questions regarding Dep of Licensing in relation to driver's ed (permits, pre-application for WDL#) , Driver's Ed class questions--parent meetings, contracts, etc.
- ANSWER EMAILS, VOICEMAILS, GENERAL CUSTOMER COMMUNICATION
MISCELLANEOUS
GENERAL CLEANING:
- Vacuum, empty trash, straighten chairs/tables in classroom, keep office neat.
FILING:
- Keep filing up to date in back office: tests, classes, etc.
- Transfer end of year class files into back office
- End of year records purge---older than 3 years
