Summary: The Fleet Manager will oversee the comprehensive management of our extensive commercial vehicle fleet, which includes over 450 vehicles ranging from vans and light-duty pickups to heavy-duty service bodies and tractor-trailers. This role will involve strategic planning, operational oversight, and leadership of the fleet management team to ensure the efficiency, safety, and compliance of our transportation operations. The Fleet Manager reports to our Executive Vice President-General Counsel within our Legal Department.

Key Responsibilities:

Fleet Management

  • Develop, implement, and maintain comprehensive fleet management policies, procedures, and guidelines.

  • Responsible for collaborating with Supply Chain to draft Requests for Proposals (RFPs), perform proposal evaluation, and select dealerships and manufacturers aligned with organizational needs and standards.

  • Oversee the procurement, deployment, and disposal of vehicle and commercial fleets and per company requirements.

  • Ensure the fleet meets operations needs while optimizing utilization and minimizing Total Cost of Ownership.

  • Monitor fleet performance metrics and implement continuous improvement initiatives.

    Maintenance and Repair:

  • Establish maintenance schedules and protocols to ensure compliance with safety regulations and manufacturer recommendations.

  • Establish inspection and certification schedules and protocols to ensure compliance with all safety and DOT regulations.

  • Coordinate and schedule routine maintenance, inspections, and repairs for all commercial vehicles and on-road equipment.

  • Responsible for managing maintenance and repair of commercial vehicles and on-road equipment to minimize Total Cost of Ownership.

  • Responsible for collaborating with Supply Chain to draft Requests for Proposals (RFPs), perform proposal evaluation, and select external service providers and commercial fueling solutions aligned with organizational needs and standards.

  • Responsible for continuously monitoring the performance of and maintaining a network of preferred maintenance shops and commercial fueling solutions across the operational geography and communicating the network to all commercial fleet operators.

    Compliance and Safety:

  • Ensure compliance with all relevant regulations, including licensing, permits, inspections, and emissions standards.

  • Ensure compliance with all applications of Federal Motor Carrier Safety Administration (FMCSA) and DOT regulations.

  • Develop and enforce safety policies and procedures related to the operation and maintenance of commercial vehicles and on-road equipment.

  • Responsible for training and enforcement of company policies for CDL drivers and non-CDL Commercial Motor Vehicle (CMV) drivers as required per FMCSA.

  • Conduct regular safety training for drivers of commercial vehicles.

    Asset Management:

  • Maintain accurate records of all fleet assets, including vehicles, on-road equipment, and GPS devices.

  • Maintain accurate records of all fleet drivers and location-based vehicle assignments.

  • Maintain accurate records of all maintenance and repair costs by asset to facilitate calculation of TCA

  • Monitor internal rental charges to ensure the accuracy of assignments of assets.

  • Conduct regular inventory audits and reconcile discrepancies.

    Budgeting and Cost Control:

  • Develop and manage the fleet budget, including expenses for procurement, maintenance, fuel, and repairs.

  • Identify cost-saving opportunities and implement strategies to optimize fleet operations and reduce expenses.

  • Analyze financial reports and performance data to identify trends and areas for improvement.

    DOT Compliance and Regulatory Oversight:

  • Manage the Department of Transportation (DOT) compliance program, ensuring that all vehicles, drivers, and operations meet regulatory requirements and safety standards.

  • Oversee driver qualification, training, and certification processes to ensure compliance with DOT regulations, including driver hours-of-service, vehicle inspections, and drug and alcohol testing.

  • Conduct regular audits and inspections to verify compliance with DOT regulations and internal policies, addressing any deficiencies promptly

    Relationships:

  • Maintain proactive and positive relationships within the JH Kelly team, and management, including shop and field craft personnel.

  • Foster positive relationships with customer representatives, vendors, suppliers, subcontractors, safety, CAD/BIM, accounting, IT, and all project teams.

    Experience / Qualifications:

  • Bachelor's degree in Business Administration, Logistics, Engineering, or a related field.

  • Proven experience (5+ years) in fleet management, preferably in the construction or MEP industry.

  • Strong knowledge of fleet management principles, practices, and regulations.

  • Familiarity with vehicle and equipment maintenance procedures and best practices.

    Necessary Skills:

  • Excellent organizational, analytical, and problem-solving skills.

  • Effective communication and interpersonal abilities.

  • Proficiency in fleet management software and MS Office applications.

  • Valid driver's license and clean driving record.

  • Salary: $90,000-$125,000 annually (DOE)
