PeaceHealth is seeking a HIM Document Specialist (Per Diem) for a per diem, Variable shift position.

JOB SUMMARY

Responsible for coordinating the day-to-day functions for assigned area. Assists with ensuring that departmental goals are achieved, timelines are met and services excellence is provided in all aspects of work. Subject matter expert. Coordinate projects under the direction of HIM leaders including process development and redesign, developing and delivering training, communication, problem resolution, customer advocacy, translating customer service needs, and participating in software testing. Understand and maintain a general knowledge of HIM Document Management positions and provides coverage as necessary within the department.

ESSENTIAL FUNCTIONS

  1. Assigns and performs document management work; plans and manages priorities, provides technical assistance, assists manager with relief staff scheduling, monitors quality and productivity of work, monitors team projects, coordinates caregiver training, ensures quality improvement, and assists with goal setting for the team.

  2. Acts as a resource to providers on the use of the electronic health record.

  3. Serves as operational support for electronic health record implementations Serves as subject matter expert, tester, and super user.

  4. Prepares documents for scanning and scan documents into software systems. Imports and electronically indexes secure photographs.

  5. Reviews scanned documents in the EHR for quality (image, rotation, and document type) and correct errors and omissions.

  6. Works with key stakeholders as needed to recommend software & procedural solutions related to projects.

  7. Recommends project timelines to HIM Department managers in conjunction with resources required from departments outside of HIM.

  8. Perform other duties as assigned.

QUALIFICATIONS

EDUCATION

  • High school education or equivalent required.

  • Coursework emphasis in Medical Terminology, Health Information Management, Project Management, Office Administration, Microsoft Office (Excel, Word, PowerPoint, Outlook) preferred.

EXPERIENCE/TRAINING

  • Minimum of three years operations experience in a Health Information Management department in hospital or clinic setting required.

  • Must have basic knowledge of general office procedures and equipment.

  • Experience developing Electronic Health Record solutions to support HIM operational workflows for acute or clinical care, including document management preferred.

  • Healthcare Information Technology (HIT) experience preferred.

LICENSE/CERTIFICATION

  • Registered Health Information Technician (RHIT) preferred.

OTHER SKILLS

  • Demonstrated understanding of medical terminology.

  • Demonstrated experience with Electronic Health Records applications and Microsoft Office products.

  • Demonstrates good judgment and decision making skills.

  • Strong organizational skills.

  • Detail oriented.

  • Demonstrated ability to balance multiple priorities and assignments.

  • Excellent communication skills, both verbal and written.

  • Honor and maintain a high degree of confidentiality.

  • Understands the basics of authorization to release information.

  • Proficient in chart analysis and document management functions.

  • Proficient in use of a variety of software applications.
